Job Title: Supervisor, Transcription

General Description (Purpose and Function):

The primary purpose of this position is to provide supervision for all activities of the transcription services department. This individual will be responsible for the training and support of the Medical Transcriptionists and oversee the day to day allocation of workloads at an enterprise level.

Primary Duties and Responsibilities (For Non-exempt Employees Include Percent of Effort):

·  Responsible for the training and support of Medical Transcriptionists.

·  Participates in the hiring performance evaluation process. Makes recommendations to Manager, Transcription.

·  Responsible for the distribution of workloads and makes recommendations for operational enhancements that improve productivity and job satisfaction.

·  Provide consultative, collaborative, team-spirited support to the clinical staff across the enterprise and interacts directly as needed.

·  Performs ongoing quality assurance reviews on work and ensures processes are in place to accelerate their release to physicians for electronic signature.

·  Provides performance reports to the Manager. Monitors continuous quality improvement activities.

·  Prioritizes requests for corrections and expedites stat reports.

·  Covers department in the absence of the Manager.

·  Works directly with internal and external teams to proactively identify “root cause” operational or technical issues. Makes recommendations for resolving the problem. Supervises the resolution of the problem.

·  Understanding of strategic planning process and gives recommendations for best practices.

·  Act as liaison between end users and HIMS department. Routinely informs administrative staff, medical staff, and patient care staff of changes to the medical repository structure, established procedures, or clinical document workflow schema.

·  Train and support clinical faculty, health professionals, patient service staff and medical record staff in the proper use of the electronic signature.

·  Transcribes multidisciplinary medical dictations, including operative reports, discharge summaries, admission notes, consultation reports, clinic notes and letters.

·  Serve as the backup of scanning center operations supervision and coordination of daily assignments at the enterprise level.

·  Develops expertise on HIPAA security requirements and thorough knowledge of University policies and procedures.

·  Maintains a professional work environment; organized, neat and clean.

·  Attends mandatory in-service education programs and awareness of industry trends and industry offerings for transcription services and Health Information Management.

·  Performs other duties as assigned.

Knowledge, Skills, and Abilities:

·  Excellent customer service skills and verbal communication skills

·  Microsoft Office and Excel

·  Knowledge of HIM practices

·  Knowledge of medical terminology

Education Requirements (Essential Requirements):

·  High School Diploma or equivalent.

Work Experience Requirements (Essential Requirements):

·  Five (5) years experience in a medical environment or clinical setting.
