Youth Ministry Overseer

Job Description

The Youth Ministry Overseer coordinates the work of all youth staff and volunteers weaving all efforts invested in the Youth Ministry toward the accomplishment of the mission and goals of the youth ministry of Allentown Presbyterian Church

General Responsibilities

Result #1: The Youth Staff meets together weekly for team building, troubleshooting and coordination.

Result #2:All volunteers needed for each component of the Youth Ministry are recruited at least 3 months before they begin serving in their roles.

Result #3:The in between cracks of the Youth Ministry, i.e. publicity, pictures, website, attendance, etc., are handled in a timely and effective way.

Result #4:The 3-Year and 1-year benchmarks of the Youth Ministry are evaluated and updated at least annually.

Result #5:A 12-month Master planning calendar for all aspects of the Youth Ministry is completed by May 1st of each year.

Result # 6:The accomplishments of the Youth Ministry are celebrated and the needs of the Youth Ministry are advocated to the leadership of the church and the broader congregation.

Result #7: The youth staff is inspired and supported to accomplish their essential administrative functions, including

  • Maintaining and Updating Attendance Records, Mailing Lists and a Youth and Leader Directory for 9th - 12th Grade Youth Groups, SS classes, confirmation and worship (including youth of the church and youth of the community).
  • Overseeing the annual development of control documents (the Youth and Leader Directory, the Youth Ministry Calendar, and Event and Trip Registration Forms), ensuring their distribution in a timely fashion.
  • Ensuring that compliance documents are up-to-date and distributed to all involved parties (copyright licensing, background checks on volunteers and staff, etc.).
  • Contacting all first-time visitors with an exceptional and timely follow up, so that all students who want to become a part of the APC High School Youth Ministry do so in a way that feels welcoming and natural to them.
  • Contacting absentee kids, shepherds, teachers in a timely follow up so that they sincerely feel missed and loved.
  • Creating and Distributing monthly Youth Newsletter
  • Ensuring that all youth ministry announcements are developed and distributed in a timely and creative way including the church newsletter, youth flyers, articles, bulletin, and worship, confirmation and SS announcements as needed.
  • Coordinating monthly mission opportunities for the high school youth.
  • Planning and coordinating fundraisers sponsored by the APC High School Ministry (including the biannual 30 Hour Fast).
  • Planning and coordinating fall and spring retreats for the high school youth.
  • Composing and distributing letters to parents as requested.
  • Collecting forms, registrations and money for youth programs.
  • Supervising seminary interns designated to work with the high school youth ministry.
  • Joyfully completing other administrative duties as requested by the Director of Youth Ministries

1)Personal

a)Live by the Youth Leadership Lifestyle Covenant (See Attachment 3) and the Child Protection policy of the church.

b)Enthusiastically support the mission, values and goals of the youth ministry.

2)Attendance

a)Sunday morning worship

b)Sunday School

c)Regular youth staff meetings

3)Preparation

a)Reading at least one Christian book a year.

b)Reading at least one additional youth or college ministry book a year.

c)Listening to training tapes and attending training conferences as much as possible.

d)Participation in regular planning and evaluation meetings with the Coordinator of Middle School Ministries and the Coordinator of High School Ministries.
