Job title: Payroll and pensions administrator

Location: Leeds (with regular travel to London)

PURPOSE

To deliver a comprehensive, accurate and timely payroll and pension administration service for all staff groups across the NHS Confederation ensuring that all employer responsibilities are complied with.

Working as a member of the HR Team, the job holder has day to day responsibility for working with our outsourced Payroll and Pension providers to administer efficient and effective payroll and pension services for approximately 220 staff across the NHS Confederation who are on a range of different terms and conditions.

The jobholder is responsible for the development of the payroll service and for improving process efficiency and meeting compliance requirements working with external agencies such as ADP, Scottish Widows, NHS Pensions and MyCSP.

The role is Leeds based but the job holder will be required to travel to the NHS Confederation’s London office on a regular basis with occasional overnight stays.

ACCOUNTABILITIES

Prepare and process the monthly payroll ensuring that all employees receive their correct salary entitlement each month and the requirements of company policy and relevant statutory pay regulations are met.

Work closely with the Finance team providing information and investigating queries as required.

Maintain accurate payroll records and file all documentation appropriately.

Maintain a risk and issues log of any payroll or pension’s issues and escalate appropriately.

Ensure that all annual payroll and pension processes e.g. year-end submissions are actioned in a timely manner and the information submitted is accurate.

Ensure that a regular audit of the payroll and pensions data is undertaken in order that the data is accurate and compliant.

Provide advice and support to line managers, staff and HR colleagues with regards to pay and pension queries, including any related legislation, procedures or obligations ensuring that all issues are satisfactorily dealt with and reference is made to relevant parties where appropriate.

Contribute to the development of projects across the HR team providing payroll/pension input where required ensuring that all payroll/pension implications are considered to enable the implementation of appropriate solutions.

Liaise with third party providers (e.g. childcare vouchers and payroll giving schemes) as appropriate.

Work closely with other HR colleagues to ensure a joined up service is provided to staff across the organisation.

Proposed structure currently under review however the review does not impact this post.

The role requires a thorough understanding of payroll processes and procedures and the legislation and statutory regulations that govern these. The postholder would require demonstrable experience in delivering an efficient payroll and pension administration service within a business. It would be advantageous to have previous experience of working with the payroll system HR.net as this is the system we use. The postholder needs to be able to work independently and unsupervised liaising with colleagues across the organisation and must have the ability to understand and interpret complex processes which will involve decision making.

The postholder must be able to demonstrate:
