Job Description – Senior Membership Officer (Temporary)

Reporting to: Chief Executive Officer

Location:Winchester

Purpose of the post: The Chartered Institute of Ecology and Environmental Management (CIEEM) is the professional membership body for applied practitioners of the science of ecology. CIEEM is undergoing a period of growth and we are restructuring our team to take account of this. This temporary post will lead the membership team through this period of change.

Key Result Areas:

  1. Overseeing effective and efficient membership administration processes

i.Line manage the Membership Team and support any other staff involved in membership administration.

ii.Manage the strategic development of the CRM system to enable the best use of data to meet the Institute’s membership needs, working closely with the Institute’s Marketing and Communication Systems Officer who has responsibility for the technical management and development of the CRM, and with the supplier, CentrePoint.

iii. Ensure membership records are kept up to date, financial transactions (jncluding direct debit payments) are dealt with efficiently and renewal processes run smoothly.

  1. Keep up to date with and ensure compliance with appropriate legislation/good practice guidance including: data protection, security of financial data and equal opportunities..
  2. Deliver a quality service to our members, applicants and other customers.
  1. Managing the application processes
  2. Ensure efficient processing of all membership applications with particular attention to recruitment, briefing and training of assessors, adherence to membership grade/ requirements and liaising with applicants as necessary, including over appeals.
  3. Keep accurate records of members and membership applications using electronic processes where possible.
  4. Ensure compliance with the CIEEM’s regulations regarding admission and take actions as necessary.
  5. Work with the Chair of the Membership Admissions Committee to ‘quality manage’ the assessment process.
  6. Contribute to and support reviews of the membership eligibility criteria and assessment processes to help ensure that these are based on good practice and appropriate standards.
  1. Maximising opportunities for membership recruitment and retention
  1. Working with the Marketing and Communication Systems Officer, develop and oversee the implementation of ideas and initiatives to increase membership.
  2. Identify new opportunities for developing member products and services to aid recruitment/retention and income generation.
  3. Utilise contact data to promote membership and upgrades to potential/existing members.
  1. Managing and promoting Chartered Awards

i. Liaise with the Society for the Environment regarding matters pertaining to our licence to award Chartered Environmentalist including ensuring our licence conditions are met, facilitating the audit process, ensuring changes to Practice Directions are implemented and other relevant actions.

ii. Ensure the efficient processing of all CEnv applications including the recruitment, briefing and training of assessors, ensuring compliance with the eligibility requirements, arrangement of the professional review interviews, quality management of the process, provision of feedback to applicants, handling appeals and reporting outcomes.

iii. Support CIEEM’s Registration Officer in ensuring that the Register of Chartered Ecologists is administered appropriately and in accordance with the Charter and By-lwas.

5. Other Duties

  1. Service the Membership Admissions Committee, preparing agendas, papers and application queries, attending meetings and taking/circulating minutes as appropriate.
  2. Manage the development of the CRM system to ensure that it meets the Chartered Institute’s needs, liaising with the supplier and other staff as required.
  3. Ensure that accurate membership and Chartership information is provided for relevant Institute activities as required (e.g. the Professional Directory)
  4. Comply with internal procedures and policies including health and safety, financial procedures and performance management.
  5. Undertake any duties of a similar nature as required by the CEO.

Hours of Work: The Institute operates a 37.5 hour working week (normally Monday to Friday 9.00 a.m to 5.30 p.m.) with a flexi time system (currently under review) for hours accrued in addition to this. Very occasional evening duties may be required.

Salary: £28,386 - £34,231

Pension: The Institute has a Group Stakeholder Pension Scheme which is available to the post holder on successful completion of the probationary period (6 months). The Institute will contribute up to 10% of gross salary to the pension scheme dependent on the level of employee contributions.
