Purpose:

  • Work closely with the Consultants on executive search assignments.
  • Conduct detailed research into potential candidates.
  • Be responsible for the efficient management of all administration around the successful completion of each project.
  • Ensure that all necessary information is readily available to the Consultants.
  • Conduct research on relevant organisations.

Responsibilities:

Research

  • Work with the Head of Research and / or Consultant to develop a research strategy for each assignment.
  • Where appropriate attend briefing meetings with the Consultant, either in person or by Skype.
  • Prepare a comprehensive research list of potential candidates, contacts and search leads for each assignment, using a number of research tools such as: internal database search; Boolean search; LinkedIn networks and groups; internet search; and leads from trusted contacts.
  • Produce a research report at the end of each research phase.
  • Conduct basic background checks on those candidates being interviewed by the client.
  • Search for new organisations for potential candidates and/or business development and gather general sector knowledge.
  • Search for new websites that are relevant to our fields of work and update the database.

Search Administration

  • Finalise the job description and adverts with the lead Consultant or Head of Research, prepare an applicant brief and advertise each role on the Oxford HR website and other relevant job sites.
  • Maintain and update the Oxford HR website, updating details as and when required.
  • Participate in debrief and update meetings with consultants/clients as necessary.
  • Manage all communication with the candidates for the entire assignment period including acknowledgements, ensuring the application is complete, communicating the application stage, rejection notes, etc.
  • Contact potential candidates, search leads and contacts by email (including mail merge), LinkedIn messages or telephone for each assignment.
  • Schedule interviews for the Consultant and/or the Client.
  • Assist in the production of assignment reports.
  • Proof read documents for team members.
  • Update the database and computer folders with the CVs and other documents related to each assignment.

Data Administration

  • Create and manage both paper and electronic filing systems to meet the organisation’s developing needs.
  • Store all information about candidates, clients, sources and organisations in the database and ensure it is up-to-date, de-duplicated and accessible to all members of Oxford HR.

Business Development Support

  • Support the Consultants and the Managing Director to contact and obtain business from new and existing clients.
  • Search for new organisations for business development, gather general sector knowledge and update the database (for example by looking for people moving positions, organisationsthat are growing etc.).
  • Record all information on the database and make contact with new organisations.
  • Dispatch paper and electronic mailshots.
  • Source interesting updates in the relevant sectors for the news and events webpages.

General Administration

  • Attend team and company meetings, taking turns to chair or minute as appropriate.
  • Handle routine incoming phone calls.
  • Receive post and emails, forwarding to the relevant colleague.
  • Assist with stationery orders and other routine office management tasks as required.

Personal Management

  • Manage time effectively.
  • Work closely with the rest of the Research team to ensure a coherent and high quality service, covering for each other where necessary.
  • Maintain a positive attitude to the company, its products and to business development.
  • Deliver on personal tasks and fulfil other duties as required, within reason.
  • Work in accordance with the company policies and procedures.
  • Participate in training relevant to your role as required.
  • Follow any agreed goals, targets and / or KPIs relating to your role.
