JOB DESCRIPTION

PA TO CEO

Reporting to: Executive Officer

Purpose of the Post

To provide a role which ensures that all matters regarding the CEO are treated with the utmost privacy and confidentiality. To manage the workload of the CEO and to act as the main gatekeeper to him. You will also be assisting the Executive Officer with administrative support.

Main Responsibilities:

  1. To provide a comprehensive and effective secretarial and administration service to the CEOacross the range of his work.

  1. To develop, maintain and review administration systems for the CEO to achieve maximum efficiency.
  1. To maintain and organise the CEO’s diary, filing system and all other relevant areas as necessary.
  1. To facilitate and schedule meetings, and ensure that follow up action can be implemented. If necessary arrange refreshments, seating and taking minutes.
  1. To co-ordinate staff meetings and again ensure that follow up actions are implemented.
  1. To respond to stakeholder queries in a timely and professional manner, both orally and in writing.
  1. To co-ordinate all senior management travel arrangements.
  1. To maintain and continuously keep up to date with all Islamic Help’s mailing lists.
  1. To ensure the effective management and update of all relevant databases.
  1. To liaise positively and professionally with colleagues and visitors.
  1. Commit to working proactively to support the CEO and the Executive Officer.
  1. To be amiable, professional and approachable at all times.
  1. To carry out appropriate additional duties and provide assistance in

other areas of work as and when required by the CEO.

  1. Any other duties commensurate with the accountabilities of the post.

1. / QUALIFICATIONS AND TRAINING
Educated to university undergraduate standard or equivalent. / Essential
2. / EXPERIENCE
2 years previous experience in a similar role. / Essential
3. / SKILLS
Excellent IT Skills and strong familiarity with Word, Excel, Power point, Access. / Essential
Strong interpersonal skills with an approachable personality. / Essential
Excellent letter writing and organisational skills / Essential
4. / KNOWLEDGE
Good knowledge of database systems and processes. / Essential
Clear understanding of confidentiality. / Essential
Health & Safety Legislation / Desirable
5. / ABILITY
Ability to work under pressure to agreed deadlines and adapt to change. / Essential
The ability to pay high attention to detail to ensure that high quality work leaves the organization. / Essential
Ability to work in a flexible manner – out of hours as required. / Essential
Excellent written English and the ability to communicate at all levels. / Essential
Ability to represent the organisation externally with key stakeholders / Essential
