Job Description – Medical Secretary

JOB TITLE:

RESPONSIBLE TO: / Practice Manager
JOB PURPOSE: / ·  To provide comprehensive medical secretarial support to the GPs, Partners and Practice Manager.
·  The confidential liaison between GPs, Partners and Patients.
·  To provide an effective and efficient clinical office system.

MAIN DUTIES AND RESPONSIBILITIES

1. / Responsible for day to day running of the secretarial department
2. / Responsible for audiotyping and processing of referral letters, medical reports, and general correspondence; keeping appropriate records. Checking correspondence and reports produced by Drs using Dragon.
3. / Liaising with Healthcare Professionals, Primary Care Trusts, Patients, Solicitors and other External Organisations to assist with the resolution and administration of queries.
4. / Maintenance of a Practice Directory for services available to Patients. To include Consultants, Chiropodists and other services available outside the practice.
5. / Responsible for minute taking at meetings and their timely production and distribution.
6. / Operation of practice postal procedure including supervision and re setting of the franking machine
7. / Preparation and production of document templates, i.e. Hospital referrals, recall letters, etc.
8. / Clinical system recording for both hospital and private referrals.
9. / The co-ordination and administration of requests from Solicitors, Partners and GPs for patient records inline with the Access to Medical Records Act.
10. / Arrange educational meetings with outside agencies
11. / Ordering of stationery, leaflets and booklets
12. / Ensuring the planning and implementation of medical secretary team rota.
10. / Attend practice meetings when required – communicate, oversee and review all departmental holidays ensuring minimal disruption and continuous practice cover.
13. / Maintenance of appropriate system for the monitoring of payments invoiced and received for non NHS services undertaken by the Practice.
14. / Provide relief cover for colleagues in the Practice
