REPORTS TO: EXECUTIVE ASSISTANT

ACCOUNTABLE TO: DIRECTOR OF PATIENT SERVICES

BASED AT: ST ELIZABETH HOSPICE

JOB SUMMARY

To provide a comprehensive administration service to the In-Patient Unit.

ROLE RESPONSIBILITIES

1.  To ensure that all processes in relation to admissions, discharges and deaths, including notifying the Care Quality Commission of all deaths, onto/from IPU are carried out effectively and in a timely manner, ensuring that all information is up to date.

2.  To act as the link for IPU volunteers (ward clerks, IPU volunteer assistants, clinical stores and admin volunteers), undertaking recruitment, training and ongoing support, ensuring that shifts are covered.

3.  To provide support to the senior nursing team on IPU, monitoring the off-duty and arranging cover for shifts, liaising with staff, bank staff and agencies and updating the rota.

4.  To arrange transport for patients being admitted, discharged or attending clinics away from the Hospice.

5.  To prepare for, attend and minute the IPU Multi-disciplinry Meeting (MDM).

6.  To update patient information on the icare system, including changing status’, ensuring that information is correct and entered in a timely manner.

7.  To liaise weekly with SERCO from Ipswich Hospital to ensure that stores are stocked appropriately and orders are placed as required.

8.  To order drugs from Ipswich Hospital pharmacy as required.

9.  To ensure the preapration and storage of records in the Archive Room.

10.  To liaise with the Maintenance Supervisor in relation to maintenance issues on the IPU, the collection of blood from the Ipswich Hospital and the taking of specimens to the Path Lab etc.

11.  To check and update the IPU diary on a daily basis.

12.  To e-mail IPU bed list to relevant staff.

13.  To ensure that all community or hospital equipment, including non-Hospice syringe drivers, are returned to the provider.

14.  To co-ordinate the care of deceased patients and their families with the nursing and medical team.

15.  To provide support to the Senior Nurse as required.

PERSONNEL RESPONSIBILITIES

1. To recognise indications of staff stress and to facilitate staff support.

2. To participate in the induction of all new staff as required.

3. To recognise the value of volunteer contribution and play an active part in their support & development where appropriate.

EDUCATIONAL RESPONSIBILITIES

1. To participate in the Hospice education programme.

2. To give feedback from attended education programmes/study days.

PERSONAL DEVELOPMENT

1. To devise with the Executive Assistant a personal development plan in line with the Hospice objectives and personal needs.

2. To maintain and increase personal professional skills.

ORGANISATIONAL RESPONSIBILITIES

1. To work at all times within the policies of the Hospice and act within Care Standards at all times.

2. To ensure effective use of resources.

3. To respect at all times the confidentiality of information covering patients, staff and volunteers.

4. To play an active part in the development and maintenance of good relationships with all who have business with the Hospice.

5. To promote the Hospice Philosophy of Care towards patients, relatives and visitors.

Because of the special nature of the Hospice and its work the postholder may on occasion be asked to undertake other duties to help maintain our high standard of care.
