The responsibilities of the post are to be performed in accordance with the provisions of the most up to date edition of the Standards document and within the range of duties set out in that document.

Job Purpose
To be responsible for all aspects of site management including a wide range of duties and responsibilities connected with the fabric and grounds of the school. This includes site security, health & safety, cleanliness, porterage, monitoring contracts/contractors, routine maintenance and refurbishment, minor repairs, advising the School Business Manager/Headteacher on suggested improvements to the general school environment, to improve the productivity of site management and to carry out pre-planned maintenance programmes.
To Hold recognised training/qualifications associated with premises management.
Main Responsibilities and Duties
 To ensure all relevant doors and gates have staff on duty and manning any that need cover ensuring the children enter the school in an orderly fashion (walking) and following the uniform policy. Taking any messages and ensuring that these messages are delivered to the school office. Check the school is secure at 8.55 am.
 To manage all routine safety checks around the site to ensure safety of all people on school site.
 To ensure a minimum of 3 H&S and site management walks take place each academic year including the SBM, H&S Governor and Headteacher.
 To ensure that all correct signs/certificates are clearly on display.
 To be aware of statutory updates of signage.
 To be responsible for liaising with and obtaining 3 quotes from appropriate contractors for all works required by the Headteacher in line with the finance policy, alongside the SBM.
 To escort and advise all contractors attending the school site when pricing up a job and to ensure the contractor is given adequate information to complete the task by providing a specification to ensure quotes and invoices match. Be aware of insurance liabilities required by contractors and to ensure that they have the required amount. Check HMRC in place before allowing work to start, alongside SBM.
 To co-ordinate and supervise all contractors working on-site to ensure a safe environment and to ensure the smooth operation of work on the school site. Ensure they are aware and abide by asbestos regulations.
 To take meter readings systematically (monthly) from appropriate sites around the premises to assist in ensuring invoices received are correct and budget monitoring is maintained. Liaise with School Business Manager.
 To support with lettings arrangements, liaise with School Business Manager.
 To be responsible for and to ensure that cleaners carry out their tasks as shown on timetable covering for any absence of a cleaner in general cleaning to ensure a clean and tidy environment is maintained, particularly after school functions. Be aware of COSH and machinery required to do the job. Oversee summer clean using and be responsible for time management of self and cleaners during the school holidays. Have an understanding of cleaners’ role and high expectations.
 To ensure all outside areas are kept free from litter, sweeping leaves, emptying bins etc., to maintain a clean and tidy environment.
 To prepare for inclement weather, ie ice/snow - be responsible for advising Headteacher if school is able to be opened. In order to keep school open to clear snow/ice and make sure walkways into school are made safe.
 To undertake daily and seasonal maintenance of the school site and equipment, inside and out, as required – to include changing light bulbs/fittings, tap washers, clock batteries, door locks, woodwork, decorating, clearing drains and toilets to ensure a safe environment is maintained. Complete a log and have a system for staff to request actions.
 To ensure that all ordering for stock relating to the job is kept up to date i.e. toilet rolls, cleaning fluids etc., Completion of budget bids annually.
 To provide a porterage service for deliveries to the school to ensure supplies are correctly handled and delivery notes checked and given to the School Business Manager, pointing out any discrepancies. Be responsible for moving all items to the appropriate person/area to ensure that the entrance lobby to the school is kept clear and hazard free.
 To move heavy and awkward shaped furniture and supplies as requested, and work at heights as required in accordance with Health and Safety regulations, ensuring training for over 3.3 metres has taken place.
 To monitor the boiler and ensure that it is running on a day to day basis to meet the needs of the establishment – not below 16 degrees or causing heat or cold stress. Thermal risk assessment in place.
 To oversee the recycling/rubbish collection to ensure that regular collections are adhered to. Dealing with problems in this respect if and when they arise. Liaison with SBM.
 To deal with all building related problems and liaising with appointed contractors. Overseeing regular Legionella maintenance in the school to ensure safety of all people on the school site.
 To carry out banking duties with Admin staff if requested (support trip to bank.)
 To check and maintain all items over £100 being security marked in line with compliance.
 Monitor the quality of cleaning undertaken by the cleaning team, ensuring that the changing needs of the school are met through training and development of the premises staff
 Effectively managing the maintenance of the school buildings and environment.
 Delegating tasks as appropriate to other site staff and external contractors.
 Monitoring the day-to-day maintenance, repair and cleaning of the school.
 Advising on redecoration and refurbishment in the rolling Maintenance Action Plan, ensuring it is in line with School Improvement Plan.
 Developing appropriate monitoring procedures to ensure that the school site is kept clean, safe and in a good state of repair
 To undertake the appraisal reviews of cleaning staff (once trained), ensuring continuing professional development in liaison with the School Business Manager.
 To set and monitor the school heating and hot water systems.
 To ensure that all projector filters are cleaned monthly by BTec.
 To ensure all indoor and outdoor plants are adequately watered during school closure periods.
 To undertake minor window cleaning as required.
Security
 • To maintain the security of the school site by opening and closing premises (including times for some lettings that may be beyond working hours and are subject to claim). Acting as key-holder for out of hours contact to maintain a safe environment – ie liaising with police if disturbance on site.
 To ensure that at the end of the day all doors, windows and gates are locked, gas and electrical appliances are turned off and all security alarms are set and working correctly
 To check, at least monthly, all perimeter fences, security devices, fire appliances, CCTV systems and alarms
 To ensure that the fire call points, intruder alarms and emergency lighting are tested weekly and results recorded
 To monitor, report and advise the SBM/Headteacher on all security matters
 To be aware of all out of hours activities at the school and arrange for the opening, closing, heating and availability of equipment as necessary for the smooth operation of both school functions and outside lettings.
 To act as main key holder for the school on call-outs, if company request.
 To carry out regular checks and inspections of the premises, equipment and grounds keeping accurate manual records where appropriate.
 To ensure that all tools and cleaning products are stored correctly and are not accessible by pupils and that hygiene standards and regulations are met.
 To carry out PAT testing and keep accurate records.
 Risk Assessment experience/qualification
Health & Safety Officer
 To be responsible for all Health & Safety issues in school
 To attend Health & Safety meetings, identifying changes and next steps. .
 To be fully aware of Health & Safety regulations
 To ensure that all working practices for the Premises Team comply with current legislation
 All duties to be carried out in compliance with the Health & Safety at work Act, Nationally and locally agreed Codes of Practice which are relevant and the School’s Health & Safety Policy and Procedures.
 To establish and maintain an audit of all tools and equipment, their state of repair and where they are kept.
 To maintain all tools and equipment in good repair and arrange for the training of members of the Premises Team on their safe use.
Fire Officer
 To be responsible for all fire extinguishers and fire safety in school.
 To carry out and/or implementing termly fire drill (delegating to fire marshals) – reporting to headteacher with details.
 To ensure that a team of trained Fire Wardens are in place.
 To test fire alarm on a weekly basis from different points around school, recording in line with compliance.
 To be aware of Fire Safety regulations and making sure knowledge of fire alarm system is up-to-date.
 To making sure fire marshals/wardens are fully trained and aware of systems
 To organise and attend training courses as required (First Aid, Fire Warden and Safeguarding up to date at all times) and assist in the training of other premises support staff ie cleaners and fire marshals/wardens. Bringing all acquired knowledge to the attention of the SBM and headteacher. Travel to courses within a reasonable distance in own time.
 To be aware of and comply with all Health & Safety regulations, Fire regulations, Safeguarding, COSH etc., and other policies to maintain the smooth running and safe environment of the school and the persons therein.
 To comply with all instructions/requests made by Headteacher or her representatives in the Senior Leader Team within the role of Site Manager.
