Job Description – BusinessFacilities Manager
Duties and responsibilities
- Pro-actively marketing ASAN’s social enterprises to both existing and potential clients to drive business growth.Overseeing the updating of ASAN’s web sites and social media content
- Managing relevant staff/ contractors to ensure business facilities are maintained to a high standard
- Managing ‘front of house’ provision in the Workspace during core hours and ensuring appropriate staffing provision is in place for evening and weekend bookings as required
- Liaison with tenant organisations to implement licence and other contractual agreements
- Development and maintenance of good record keeping systems for legal documentation, gathering accurate invoicing data and management information including bookings and occupancy rates
- Implementation of Health and Safety systems and procedures
- Development and maintenance of systems and processes to manage conference and room bookings
- Ensuring new and existing customer requests are dealt with in a professional manner
- Support the Chief Executive to develop new ASAN enterprises and services.
- Maintaining cash handling systems and procedures in accordance with current financial procedures.
- Ensuring child safeguarding procedures are rigorously implemented
- Act as an emergency contact for the Workspace (one of several on a list)
- Pro-actively liaise with tenants to incrementally improve service
- Support delivery of ASAN’s social accounting process
- Comply with all ASAN’s policies and procedures
- Ensuring ASAN has appropriate insurances for the range of activities undertaken – ensuring best value
- Negotiating utility and other contracts to ensure best value
- HR administration including liaison with HR consultants, including issuing contracts and start / end of employment documents
- Providing qualitative and quantative monthly or quarterly update reports to the ASAN Board.
- Conduct other duties appropriate to the post as required or requested by the Chief Executive or Board of Management.
Key performance indicators for the post are likely to include:
- Monthly and annual income through conferencing bookings, serviced office rentals and Southside Sports bookings.
- Number of new clients making conferencing bookings on a monthly basis
- Improvements in business performanceof ASAN’s Day Nursery
- Progress in establishing new social enterprises
Person Specification
Requirement / Essential / DesirableQualifications
Relevant level 4 or above qualification (suitable experience may be considered as an alternative)
Experience
Experience of working in a customer/ public facing role
Experience of building professional customer relationships
Experience of managing staff in an office environment
Practical experience of delivering marketing plans including use of web sites and social media, resulting in meeting business targets.
Experience of operational management in similar business settings
Experience of developing and implementing operational systems and procedures
Experience of facilities or building management including managing health and safety requirements.
Excellent working knowledge of Microsoft Office
Experience of working in partnership with other organisations to achieve results
Experience of working in a social enterprise
Knowledge of Wolverhampton/ Black Country
Experience of working within conferencing, catering or hospitality businesses
