Job Description – Area Project Coordinator

Purpose of the Post

Main function of the post is to promote, supervise and organise the operations of dementia-friendly, community-based Sporting Memories Groups, including the supervision and line management support to volunteers in these groups, as well as, operational support to staff and volunteers belonging to partner organisations running Sporting Memories Groups.

Sporting Memories Volunteers

Main Duties and Responsibilities

  1. Organising Area Sporting Memories Groups.
  2. Ensuring that all Area Sporting Memories Groups and monthly supporters clubs are ‘dementia friendly’.
  3. Recruitment and support of area group volunteers: including overseeing PVG checks, organising ‘dementia friends’ training for volunteers.
  4. Receiving and encouragement of referrals from individuals, families and organisations of people to join Sporting Memories Groups.
  5. Supervision of sporting memories volunteers.
  6. Liaison with organisations hosting sporting memories groups.
  7. Supporting staff and volunteers of other organisations facilitating their sporting memories groups in the area.
  8. Manage Volunteer Expenses.
  9. Monitoring: Providing information on area groups such as attendance, performance indicators and quality measures for project evaluation.
  10. Organising Area Monthly ‘Supporters Club’ meeting for: Sporting Memories Group participants: participants’ carers, friends or family members: group volunteers: new referrals and their carers, friends or family members.
  11. Developing positive relationships with group participants including people with dementia and their carers attending monthly area supporters clubs.
  12. Organise and Manage budgets for monthly area ‘support club’ meetings.
  13. Liaising and coordinating with other local dementia friendly communities organisations.
  14. Liaising with other local organisations in the third sector, health, care and social services.
  15. Liaising with local schools, youth groups and sports clubs for potential inter-generational activities.
  16. Encourage awareness of sporting memories groups in the area
  17. Adhere to external regulations
  18. Any other duties commensurate with job and pay scale

The post holder will be subject to a Protection of Vulnerable Groups (PVG) check by disclosure Scotland

Salary & Benefits:

There are four part-time posts available in the following areas: Glasgow: North & South Lanarkshire: Edinburgh: East Lothian, West Lothian & Midlothian.

Posts will be based on a full-time salary of £22,000 pa, pro-rata to hours per posts. Holidays will also be pro-rata based upon 25 days and 10 statutory holidays pa.

A 3% pension employer contribution will also be available.

Posts will range from 14 hours to 28 hours per week and will be confirmed during the recruitment process.

Area Project Coordinator - Personal Specification:

Competency / Essential / Desirable
Attitudes and values / An understanding of the key issues faced by an ageing population
Basic understanding of the concept of person-centred care
Basic understanding of the benefits of reminiscence for people living with dementia
Understanding of and empathy with Sporting Memories’ aims and values. / Can demonstrate experience of group facilitation
Evidence of recent study or learning
Can demonstrate previous experience of working collaboratively across organisations
Experience of volunteering
An interest or knowledge of Sport
Work experience / Experience of supervising volunteers or staff in multiple locations.
Experience of multi-agency working.
Experience of working in a relatively unsupervised manner and for being responsible for organising their own workload and schedule. / Experience of working with older people or other vulnerable groups.
Experience of recruiting volunteers.
An understanding of volunteer management and best practice
Qualifications / Full driving licence and access to a vehicle during working time
Communication / Good interpersonal, general communication and telephone skills.
Evidence of good IT skills including email and basic office tools.
Ability to produce written reports and routine communications with minimal assistance.
Ability to work from home. / Use of own computer with online access
Evidence of computer skills training
Record Keeping / Ability to oversee collection of regular monitoring and quality evaluation records plus petty cash, transport and health and safety records. / Experience of routine record keeping
Evidence of project management skills
Professional Relationships / A strong networker, with experience of developing inter-organisational relationships and partnerships.
Ability to work as part of a team and to initiate, sustain and respond to various people in a range of external professional and community organisations.
Ability to relate purposefully and communicate effectively with people with dementia, other cognitive issues and their carers in a way which shows sensitivity and understanding of their needs.
Supervising Skills / Ability to supervise and lead volunteers in facilitating tasks. / Experience of providing line management within a team structure.
