Job Description Administrative Assistant

Location:Park Vale Academy

Salary:The Redhill Academy Trust Pay Scale, Band 6

£16,007 to £17,668 (FTE)

Hours of Work:37 hours per week, term time only

Responsible to:Office Manager

Post Objective: To be part of the Main School Office team providing reception and administrative support to staff within the Academy inc.management of the student attendance data

Main Duties and Responsibilities:

  • Under the direction of the Office Manager, provide general clerical support to staff within the Academy, including typing, photocopying, filing and letter correspondence.
  • Answering the main reception switchboard and directing calls as appropriate.
  • Liaise with the Academy’s Work Experience co-ordinator, staff, students and external businesses to provide administrative support to the Work Experience programme.
  • Provide administrative support to the Academy’s Assertive and Intensive Mentoring schemes, liaising with the Head of House to arrange student appointments and issue correspondence.
  • Using SIMS, assist the Office Manager in the accurate record-keeping of student information.
  • Produce the weekly staff and student bulletin and circulate accordingly.
  • Book coaches and transport for Academy trips and visits.
  • Provide receptionist duties, welcoming and greeting visitors, parents, contractors to the Academy and signposting visitors around the Academy site.
  • Support the Office team in ensuring all external correspondence is franked and prepared for, and be a signatory on deliveries when needed.
  • As necessary, provide Administration services to members of the SLT, including letter writing, report writing and creating presentations.
  • Under the guidance of the Trust Attendance Manager, be responsible for the administration of Attendance data. To include:
  • Maintain and update accurate attendance records, inputting data onto the academy data systems as necessary.
  • Receive calls and notices from parents when a student has a planned absence
  • Telephone parents when a student is absent from school without notice.
  • Ensure staff have completed registers in a timely fashion by notifying them when a register is missing.
  • Organise meetings with students and parents with the Attendance Officer, Head of House and members of SLT
  • Provide attendance reports as requested
  • Regular liaison with the Trust Attendance Officer on matters relating to student attendance

General:

  • Attendance at staff meetings and INSET activities where relevant.
  • To uphold and actively support the Academy’s policies and procedures.
  • Undertake any other duties which might be reasonably regarded as within the responsibilities of the post, subject to the proviso that any changes of a permanent nature shall be incorporated into the job description in specific terms.
