Level:Aquinas 3 [Administration]

Full time salary range:£16,341.00 - £18,200.00 p.a.

Actual pro rata salary range:£12,637.10 - £14,074.70 p.a.

Hours:32.5 hours per week x 39 weeks per year (term time only)

08.30 - 15.30 Monday to Friday

Purpose:

Roles at this level will be responsible for delivering a range of administrative and financial services to the school.

Key duties and responsibilities:

  • Provide general administrative and financial support to the school.
  • Update manual and computerised records/management information systems (e.g. SIMS, dinner registers/payments, school trips).

Individuals in this role may also undertake some or all of the following:

  • Undertake reception duties; act as first point of contact in response to telephone and face-to-face enquiries.It is essential that this role is undertaken in a calm, friendly, approachable and professional manner; seeking to address people’s needs swiftly and appropriately which may include referring the matter to others where needed.
  • To receive all visitors, inform appropriate staff, ensuring that all visitors sign into the school, checking ID and DBS information and issuing security badges.
  • Assist the School Business Manager with basic financial input and procedures e.g. counting cash and cheques, recording of monies banked.
  • First point of contact for sick pupils, liaise with parents/carers/staff. There is a requirement to undertake first aid training for this role.
  • Typing, editing, saving and printing letters, lists, and reports using Word and Excel regularly.
  • Sending text messages, letters and flyers to parents and staff using email.
  • Arranging meetings, workshops, training sessions and visits to the school and recording on Outlook Calendar.
  • Ensure collection of attendance registers and input data into appropriate software packages.
  • After training, maintain the pupil database (SIMS) and any parent payment systems.
  • Maintain stationery stock and request replenishment as appropriate, ensuring stock levels are kept within reasonable limits without over-stocking.
  • Produce a range of standard reports for staff as directed e.g. class lists etc.
  • To receive, check and disseminate deliveries.
  • Arrange orderly and secure storage of supplies.
  • Be able to handle cash in emergency situations e.g. for school visits, dinner money.
  • Undertake photocopying and shredding as required, reporting faulty machinery and equipment as necessary.
  • Maintain a high degree of confidentiality with regards to staff, student issues and all school information.
  • Be aware and comply with policies and procedures relating to child protection, health & safety, security and confidentiality reporting all concerns to the appropriate person to ensure pupil wellbeing.
  • Deal or report to the nearest member of teaching staff, incidents that are seen or reported regarding pupils welfare.
  • Deal with any emergency issues in the absence of office colleagues to ensure the efficient running of the school reception area is maintained.
  • Maintain medical records/care plans for children liaising with SENCo and relevant staff.
  • Maintain an up to date list of First Aiders and notify staff when certs need renewing.
