Board of Directors Meeting Minutes – Tuesday, November 10, 2015– 7:00 PMMatt’s Pizza

Mark called meetingto order at 6:58PM

Mark commented on the great appearance of our front entrance thanks to the hard work of Joanna Hines.

Scott said he would review other HOA’s documents regarding their proxy voting procedures in an effort to improve our process, since it is complicated and confusing. It should be simplified and easier to understand.

Larry informed us that our bank account balance is currently at $40,240.67.

Spencer had no comments.

Mark advised that we received a quote of $11,400 from Brown’s Tree Service to clean up the retention area. More bids will be solicited. However, there is a possibility that renting a few goats for a week to eat the kudzu may be a viable and more economical way to clear the retention pond area of overgrowth. Of course, this idea needs to be very carefully researched before the board can put it to a vote.

There was discussionabout sodding the Phase II bridge area; costing for a sprinkler system; and different types of fast growing, drought-tolerant grass. Centipede, Zoysia, Turf grass, and Fescue were mentioned.

As a reminder, Kay told us that last year’s dues letters went out on December 1, 2014.

Spencer said the annual budget meeting must take place no later than December 1, 2015, to be in compliance with our by-laws, which state the meeting must occur at least 30 days before the fiscal year end (12/31/15).

Tijuana asked if we were planning a Christmas holiday party. Mark recalled that the board voted to spend $150 for last year’s Halloween party. After brief discussion, Tijuana said she would put together a proposal based on last year’s budget.

The board voted 4-0 (Mark motion, Larry second) to have another Christmas Lights contest with the winners receiving 1st, 2nd, and 3rd place prizes of $55 - $45 - $35 gift cards to Matt’s Pizza.
