Role Specifications

The following are the duties and responsibilities of the various volunteering opportunities that exist within AFS. They are not exclusive to each role as some processes may be required in multiple roles. Also, volunteers are not restricted to performing one role, and can branch out and fulfil different roles once they have been trained to do so.

All Positions

  • All volunteers, regardless of what role they fulfil, will attend a 2 hour mandatory training session in which they will be taught more about the service and learn the basics of all the roles. These will be taught in groups
  • All volunteers will attend 2 or 3 individual session with the volunteer coordinator until they are fully aware of the rights and responsibilities and both they and the coordinator are confident that they can work independently without direct supervision.
  • Once they can work independently the volunteer will be able to book a slot in the room in advance whenever it is free and work – they will be aware of procedure in an emergency, a coordinator will be contactable via phone or email AFS will have an emergency contact number

Scanner

It will be the scanners responsibility to:

  • Identify what work needs to be completed next and ensure that there is a work record file for it
  • Once trained, use the appropriate scanner to transfer the printed material to the computer, ready for the next phase of the project
  • Ensure that the material that they have scanned is saved in the appropriate location and they have updated the work record to show what they have done.

Formatter

It will be the responsibility of the formatter to:

  • Locate the scanned material and the associated work record on the system
  • Identify the output format required for the document and change settings accordingly
  • Format the document in accordance with the requirements for the piece of work
  • Save the document in correct folder and update the work record to show what where you started and where you left off
  • If document is finished then send it to necessary location

Brailler (optional)

In order to fulfil this role volunteers will need a little extra training, a 15 minute session to be shown how the equipment works. The brailler role is simply an extension of the formatters role so all the same responsibilities apply
