Item Lookup Window (FV070M06)

Purpose: The Item Lookup window allows you to access current information about each inventory item (part number) in your inventory. The Item Lookup window may be used as a convenient means of checking the current quantities, prices, and other information about each inventory item.

Operational Procedures

The Item Lookup Window is a multi-parameter browse which displays a list of inventory items. The Item Lookup Window allows you to select the sequence in which the inventory items are displayed and it also allows you to locate individual items in several different ways (CURSOR keys, search strings, restrictive searches). Once you have located and selected an inventory item, you may use the Special Function Accelerator Keys to perform different tasks.

Item Lookup Window - Special Function Accelerator Keys

Ctrl +: This label indicates the other information that you may access from the Item Lookup window. The letter that is capitalized indicates the key that you should press along with the CTRL key in order to perform the desired function. For example, if you press the CTRL and O keys at the same time, the system will display a listing of all open PO (purchase Order) lines for the selected item. Other options include CTRL + L (other Location) which allows you to check the stock level for the selected items at other inventory locations, and CTRL + F (inFomaster) which calls up the "Infomaster" which is a text file manger that may be used to store product reference information about each item (for instance, the text file for a software item might include an extended description of the program, the operating systems it is compatible with, and the amount of system memory required to run the program).

Alt +: This label indicates the display sequences that are available from within the Item Lookup Window. Some of the options that are available are "Item" which lists the inventory records in item number order, "Description" which lists the records in item description order and "Vendor" which lists the inventory items in order of the vendor from whom the item is normally purchased. The letter that is capitalized in each option indicates the key that should be pressed along with the ALT key in order to select the desired display sequence. For example, pressing the Alt + D keys at the same time will cause the system to sort the inventory items in description sequence. The selected display sequence is displayed next to the Sequence field at the top of the Inventory Item Lookup window.

EXPAND-More: By pressing the EXPAND key, the operator can access additional information about the selected inventory item. The information that is displayed is taken from the Inventory Master File and it may not be changed by the operator from within this program. The additional information includes the inventory product line, item status, type, manufacturer, price levels, etc.

Item Lookup Window - Field Descriptions

Location: The inventory location of the displayed items.

Sequence: The sequence indicates the order in which the inventory records on the screen are being displayed. The available display sequences are listed on the bottom of the screen next to the Alt + label. The operator may display the inventory records in any of the sequences next to the Alt + label by pressing the Alt key and the capitalized letter of the desired sequence at the same time. Please note that the display sequence also controls the way in which you may locate records. For instance, if the records are displayed in "Item Number." order, you may search for a inventory item by keying in the inventory item number (or a portion of the number) and pressing the ENTER key. If the "Vendor" sequence is selected, you may search for the desired inventory item by keying in the vendor name (or a portion of it) and pressing the ENTER key. Once you press the ENTER key, the system locates or "Finds" the record which most closely matches the information that you keyed in. The default display sequence for the Inventory Item Lookup window may be set globally or on a user by user basis in the System Control file.

Item No.: The inventory item number from the Inventory Master file.

Description: The inventory item description from the Inventory Master file.

OnHand: The current quantity of the inventory item that is in stock. The on hand quantity.

OnRes: The quantity of the inventory item that has been ordered by customers and that is scheduled to be shipped to the customer within the current scheduling window. This quantity is the quantity of inventory that has been reserved to fill current customer orders.

OnOrd: The total quantity of the inventory item that has been ordered from the companies vendors.

Available: The quantity available to be sold within the current scheduling window.

Item Lookup Window Accelerator Keys

CTRL + F Infomaster Displays the Infomaster or product catalog file for the selected inventory item. The Infomaster is a text retrieval system which can be used to store additional descriptive information about each inventory item. When the CTRL + F keys are pressed, the system finds and displays the text file (if one is present on the system) that is pointed to by the Product Catalog field in the Inventory Master file record for the inventory item. Once the system displays the text file associated with the item, the operator may navigate through the text using the PREVIOUS and NEXT RECORD keys.

CTRL + L Other Location The Other Location window allows you to view the inventory quantity on hand, quantity reserved, and quantity available for the selected item at all inventory locations in the company. The information displayed within this window is maintained by the system and may not be changed from within this program.

CTRL + O Open PO's The Open PO Line Items window is used to display all open purchase order lines which have been placed for the selected inventory item. The information which is displayed for each purchase order line includes the purchase order number, the inventory location from which the PO was placed, the quantity of the item that was ordered on the PO and the quantity received against the PO. The date on which the purchase order was placed and the date on which the item is promised or due to be received is also displayed.

CTRL + Q Qualified Vendor Displays the Qualified Vendor List. The QVL is an on-line catalog of the items which are available from your vendors. The QVL allows you to check pricing and availability for items that you do not have in your inventory. The QVL also allows you to create items in your inventory so you may place orders for them.

CTRL + X Cross Reference Displays the Cross Reference Table. The Cross Reference Table allows you to store multiple item numbers in your system for a single inventory item and to tie the item numbers to the item number you are using. This allows customers to order items from you using their own item numbers.

EXPAND Item Detail Displays the Inventory Item Detail Window. When the operator selects (highlights) an inventory item from within the Item Lookup window and presses the EXPAND key, the system displays detailed information about the item. The information displayed is taken from the Inventory Master file and it includes the item description, product line, price levels, and other information.

USER Sales History When you press the USER key from the Inventory Item Lookup Window, the system displays the Monthly Sales History Window. The Monthly Sales History Window displays the total sales in units and total revenue (in dollars) for the selected inventory item back through the first month.

Item Lookup Window - Infomaster

Purpose: The Infomaster allows your company to store product information about individual inventory items in ASCII text files and enables you to call up the information from within the STREAM II database. The text files for each item are identified in the Product Catalog field of the Inventory Master file. To view the product information, you simply selects an inventory item from the Inventory Item Lookup screen and presses the CTRL + F keys.

Operational Procedures

Once you select (highlight) a specific inventory item from the Item Lookup Window with the light bar, you can access additional descriptive information for the item (if it is present on the system) by pressing the CTRL + F keys at the same time. Once the CTRL + F keys are pressed, the system finds and displays the text file that is pointed to by the Product Catalog field in the Inventory Master file record for the item. Once the system displays the text file associated with the item, the operator may navigate through the text using the PREVIOUS and NEXT key or the CURSOR (ARROW) keys. After the operator has viewed the text file, the operator presses the ESC key to return to the Inventory Item Lookup window.

Purpose: The Other Location Window allows the operator to view the inventory quantity on hand, quantity reserved, and quantity available for the selected inventory item at all inventory locations in the company.

If you select an item on the Item Lookup Window and press the CTRL + L keys, the system displays the Other Location Window. The Other Location window allows you to view the inventory quantities for the selected item in all inventory locations in which the item exists. Once you have viewed the information in the Other Location Window you may press any key to return to the Item Lookup Window.

Item Lookup Window - Open Purchase Order Lines

Purpose: The Open PO Line Items window is used to display all open purchase order lines which have been placed for the selected inventory item. The information which is displayed for each purchase order line includes the purchase order number, the inventory location from which the PO was placed, the quantity of the item that was ordered on the PO and the quantity received against the PO. The date on which the purchase order was placed and the date on which the item is promised or due to be received is also displayed.

Operational Procedures

Once you select an inventory item from the Item Lookup Window, you can view all open purchase orders which have been placed for the item by pressing the CTRL + O keys at the same time. When the CTRL + O keys are pressed, the system displays the Open PO Line Items window and the light bar is positioned on the first PO line for the selected item. The PO lines are listed in ordered date order with the oldest PO lines appearing at the top of the screen. Once the operator has finished viewing the open purchase order information for the selected item, the operator may press the ENTER or ESC key to return to the Inventory Item Lookup window.
