This is an exciting opportunity for a strategic and operational IT/Facilities professional to join Contact a Family at a crucial time in its development. A forward thinking and ambitious IT and Facilities manager is being sought to take over and participate in the shaping of a business critical department. He/She will be tasked with preparing and presenting improvements and new ideas to the current environment.
The IT Manager will be responsible for the day to day management of the infrastructure and the line management of up to three direct reports.

The role will also requireexperience of project management as there is a great deal of change due to take place in the near future. You will be required to manage the full project lifecycle from project planning and initiation through to presentation and delivery.
Key elements of the role are:

  • Development and support of the IT/Facilities team
  • Project managing systems and solutions from design to completion
  • Providing technical input to management
  • Continually improving IT services
  • Providing an overall high quality customer service

The Ideal Candidate

For this role it would be ideal that you have previous experience of managing an IT department and its service delivery. You should have led and be comfortable with planning and managing IT infrastructure projects and leading a team. You will need to be proactive in being aware of industry developments to help develop the department. The ideal candidate must have strong technical knowledge and experience. Previous experience of managing facilities would be an advantage.

Job Title: / Head of IT and Facilities

Salary: / Scale 41 – 44 £38,226 - £40,910
Job Purpose: / The post will play a leading role in managing and developing both the IT and the Facilities teams to support Contact a Family moving forwards. As the main source of IT expertise in the organisation, the post holder will need to ensure the IT systems have the confidence and commitment of staff. A key part of the role is to contribute to and support the strategic development of our infrastructure.
Duties /
  1. Line Management
  • To manage the IT team currently providing first, second and third line support and any other related posts that may arise
  • To manage the Facilities/reception staff
  • To devise and implement standards for the work of all IT and Facilities staff and monitor performance against these standards
  • To manage the day to day work of the teams, allocating tasks and responsibilities as appropriate
  • To develop a high level of technical competence in both teams through coaching, training and documentation
  1. Service and technical management
  • To ensure Contact a Family’s IT infrastructure meets staff requirements, particularly around usability, availability and flexibility
  • To ensure that all staff receive a prompt high quality support service
  • To help identify and support training needs of staff and team
  • To develop, implement and support procedures and ways of working that are time and resource efficient
  • To ensure all IT systems and networks are proactively managed to provide optimal performance, reliability and minimal downtime
  • To act as Contact a Family’s lead technical authority across all IT technologies
  • To ensure all IT systems and infrastructure are adequately documented – this includes maintaining inventories, system configuration documents and software and installation records
  • To ensure all Contact a Family data is backed up and that appropriate backup and restore procedures are in place and reviewed ongoing
  • Ensure compliance with the organisation’s Data Protection and other regulatory policies
  • To ensure both IT and Facilities teams’ support service develops to accommodate new ways of working and new technologies as they are adopted
  • To advise SMT on specific IT and Facility issues
  • To attend and contribute to any internal project groups or networks that relate to IT and Facilities
  • To manage and develop IT and Facilities policies that are relevant to the appropriate procurement and use of devices and equipment
  • To manage the tendering and monitoring of all IT and Facilities contracts and ongoing contractor relationships
  • To manage the communication of all IT and Facilities matters across the organisation
  1. Working with external providers
  • To review, lead and manage in the selection of external providers and advise SMT accordingly
  • To manage and maintain constructive working relationships with external providers of goods and services including the development of appropriate service level agreements and maintenance contracts
  • To ensure jobs are referred to external providers where appropriate and manage their effective resolution
  • To give external providers written briefings or information on the organisations IT infrastructure and systems for them to carry out their role
  1. Planning and project management
  • To plan and implement all major IT and Facilities related projects and provide support and advice to minor projects carried out by team members
  • To lead the IT and Facilities teams annual planning, devising, in conjunction with the Director of Resources, team objectives and managing their progress/achievement during the year.
  1. Budget/Asset management
  • In conjunction with the Director of Resources, set the IT and Facilities budgets and to manage the budgets throughout the year
  • To ensure value for money in purchasing and contracting
  • To manage IT and Facilities assets across the organisation
  • To ensure all Assets are being used in accordance with IT policies and procedures
  1. Strategic Management
  • To assist the Director of Resources to develop an IT/Facilities strategy to support organisational goals
  • To work with managers and heads of other departments in the development and support of their strategies, specifically web, marketing, fundraising, and monitoring and evaluation teams
  • Play a key role in the development of the infrastructure strategy to support the overall 5 year organisational strategy
  • To represent Contact a Family professionally in all external facing roles including events, conferences etc

General: / Contact a Family’s aims and objectives are set out in our current Strategic Plan. Operating policies such as Equal Opportunities, Health & Safety and other professional matters are laid out in the Staff Handbook. The post holder will be expected to work within these aims, policies and procedures and to ensure that they are followed by all staff who he/she manages.
The post-holder will be expected to assist with any reasonable administrative duty at the request of their line manager.
All members of staff are expected to participate in appropriate team meetings held to discuss particular topics. Staff are also expected to attend training events relevant to their specific responsibilities.
All staff are offered supervision, support and annual appraisal incorporating their training and personal development needs.
Attendance at evening meetings when required.

Essential skills, knowledge and experience / Qualifications
  • A recognised qualification in or significant practical knowledge of technical management of Microsoft systems including windows server 2008 or above, Active directory, Exchange server 2010 or above, SQL server 2008 or above, IIS, Windows 7 professional or above
  • A recognised Qualification in or significant practical knowledge of managing networks and network equipment
  • A recognised qualification in or practical knowledge of managing virtual technologies and infrastructure
Experience
  • Experience of managing an IT team in a similar sized organisation, including staff development and performance management
  • Experience of workload management including task allocation, progress monitoring and quality monitoring
  • Experience of acting as the technical lead in an organisation
  • Experience of managing external providers of IT services including day to day liaison and monitoring
  • Experience of leading on and managing significant IT projects
  • Experience of devising and implementing improved ways of working
  • Experience of annual planning, budgeting and target setting
