Invoicing and Refunds Policy

  1. General

1.1.This policy applies to all courses with a start date of 1st August 2016 and all Tutor Training taking place on or after 1st August 2016.

1.2.This policy applies to all Sports Leaders UK qualifications, awards and services and replaces any previous versions. Where reference is made to invoicing or refund policy in any other document produced by Sports Leaders UK, and where any inconsistencies may occur, the information in this document takes precedence.

  1. Awards, Qualifications and Other Services

2.1.Invoicing and Terms

2.1.1.Sports Leaders UK will invoice your centre for products and/or services ordered or contracted to.

2.1.2.At the point of applying for a course, centres must supply either the number of learner/delegate registration places required OR the name of each learner/delegate to be registered. Sports Leaders UK will invoice at this point the appropriate fee per learner/delegate registration place. Each invoice will display the ordered places, products and/or services and Sports Leaders UK’s bank account.

2.1.3.Our normal payment terms are 30 days from the invoice date. Failure to make a payment within this timescale may result in the credit facility being withdrawn and in the suspension or withdrawal of products and/or services ordered (including online resource access).

2.2.Payment for Services

2.2.1.Our preferred method for receipt of monies is Bacs. Our bank details are shown on our sales invoices.

2.2.2.We also offer the following payment alternatives:

2.3.Credits and Refunds

2.3.1.Centres have up to 30 days from the invoice date or course start date (whichever is earlier) to notify Sports Leaders UK of the withdrawal of registration places to claim a full credit.

2.3.2.Registration places can be withdrawn by using the LEAP electronic system or by notifying Customer Services in writing via email: . It is strongly recommended that you keep a copy of your request for future reference.

2.3.3.Withdrawals made 31 days or more after the invoice date or course start date (whichever is earlier) will not be credited and centres will be liable for the full cost.

2.3.4.Where a credit is agreed, a credit note will be raised on your account.

2.3.5.Refunds must be requested by email to .

  1. Tutor Training

3.1.Invoicing and Terms

3.1.1.Centres who have agreed a credit facility with Sports Leaders UK will be invoiced for booked Tutor Training places. Standard payment terms apply.

3.1.2.Individual delegates not linked to a Centre will be required to pay for their training places at the time of booking. Payment can be made by a payment card, Bacs or cheque.

3.2.Credits and Refunds

3.2.1.For cancellations, the following terms will apply:

3.2.1.1.8 days+ prior to the Tutor Training day – £20 admin fee will be charged.

3.2.1.2.7 days or less prior to the Tutor Training day – No refund given.

3.2.2.Cancellations must be sent in writing to Sports Leaders UK, via email to . A confirmation will be sent within two working days. If you do not receive a cancellation confirmation within this timescale, you must contact us on 01908 689180. Failure to do this will result in your cancellation not being processed.

3.2.3.Where a credit is agreed, a credit note will be raised on your account. Refunds must be requested by email to .

3.3.Transfers and changes

3.3.1.If the original Tutor Training day becomes inconvenient, it is possible to rebook onto an alternative Tutor Training day, subject to the following conditions:

3.3.3.For rebooking at least 8 days in advance, £20 transfer fee will apply.

3.3.4.Rearranged Tutor Training date needs to take place within 6 months of the original Tutor Training day.

3.3.5.Rebooking within 7 days prior to the Tutor Training day is not normally possible. New booking will be required and no refund will be given for the original booking.

3.3.6.Change of delegate’s name is free of charge.

3.4.Bespoke Tutor Training Days

3.4.1.Bespoke Tutor Training days will be invoiced in full at the time of booking. Agreed credit terms will apply.

3.4.2.Should a Bespoke Tutor Training day be cancelled, a credit note will be raised for the original amount, less £500 to cover our costs.

3.4.3.Bespoke Tutor Training day cancelled within 7 days ofa Bespoke Tutor Training day will not be eligible for a refund.

3.4.4.It is not normally possible to change the date of a Bespoke Tutor Training. In extraordinary circumstances, we may, at our discretion, agree to change the date of a Bespoke Tutor Training. A fee to cover our costs may be charged.

4.1.Unallocated receipts

4.1.1.Customers must ensure that remittances are emailed to .

4.1.2.We will make all reasonable effort to identify and allocate receipts received from unknown accounts. When all options are exhausted and balances remain unclaimed, they will be treated as general donations.

4.2.Refund Requests

4.2.1.Customers can request refunds for credit balances by emailing their requests, including their bank detailsto .
