International Visa/Citizenship Information in PeopleSoft
Step 1: Entering a new Citizenship and Visa Information
The citizenship link is associated to a person. To locate the link first navigate to the Biographical Details tab.
First click on the Citizenship link on the bottom right hand side of the Biographical Details Tab:
This will open a new page where you can enter the Citizenship information:
Click on the prompt next to the Country text box and select the appropriate country.
Select “Citizen” or “Permanent Resident” from the Citizenship Status drop down box. If you have any additional information the rest of the fields can be filled in, otherwise leave them blank.
Select OK when you are finished.
Now that a non-USA citizenship has been selected the visa type can be entered.
Please note: PeopleSoft only contains information for US visas.
Select the Visa/Permit Data on the bottom right hand side of the PeopleSoft Biographical Details page:
Fill in the Country with USA
Select the Visa type from the list by clicking the prompt, or filling in the appropriate visa type.
Fill in the remaining known fields with the appropriate information. For instance, a Permanent Resident with a Green Card/Permanent resident card would look like this:
With the appropriate fields filled in, including the type of Documentation received, the Issue and Expiration Date, and the appropriate Status.
Fill in the appropriate information when documents arrive.
If the visa type on the Visa/Permit Data page matches the information received, post the documents received in the appropriate fields.
If the updated information arrives i.e. a new expiration or change in visa status, enter a new effective dated row with the updated information, do not change the previous data.
For example:
Adding the Application
Application Number: always leave blank
ID: if you have carried over the ID number from a student from the Search/Match that number should be populated here. If this is a brand new record this field should say NEW
Academic Institution: should always be ASU00
Academic Career: choose the right career
- GRAD – Graduate Student
- UGRD – Undergraduate Student
Once you have saved the application, the application number and ID(if the student is brand new) will be assigned to the student record.
After clicking “add” you will be taken to the actual biographical info/application entry pages. The 1st two pages/tabs deal with the student’s biographical data, the last 3 pages/tabs deal with application data
Tab #1: Biographical Details:
Many of the fields (first name, date of birth, etc) are self explanatory.
Effective Date: date of application/applicant entry, only change this if we need to backdate (for example to make it effective to register for the term)
Campus ID: you do not need to know or enter this
Birth Information: if student is domestic, you do not need to go to this page. For international students, clicking this link will give you the option of entering Birth Location, Country, and State.
National ID: default value is ‘Primary’; this needs to be left checked
For USA students, this is the student’s Social Security Number (SSN).
For International students, this will represent a SSN that has been assigned by the US Government. This field should not be used for the Alien ID # from a ‘greencard’ or ID # from their country of citizenship.
Phone Number:When entering more than one phone number, one has to be marked as ‘preferred’. Always use HOME for preferred.
Addresses: If you need to modify an address choose Edit Address . To add a new address, click on the + mark next to the current address.
Email: one has to be marked as ‘preferred.’ Always uses the ASU email as preferred.
To add an additional National ID, Phone Number, or Email, click on the ‘Add’ button located just below that particular field.
Visa/Permit Data and Citizenship: These links will take you to pages where you can record the student’s citizenship and visa data; please see the visa/citizenship business process guide.
Tab #2: Regional
This tab is only used for domestic students. Always choose USA when determining ethnicity – these are the codes used for federal reporting. You may see several categories in the listing when you click on the magnify glass – look for the following categories (based on the application for admission) of Standard Choices:
- African American, not Hispanic
- Asian American or Pacific Islander
- White, not Hispanic
- American Indian/Alaskan Native
- Specify Tribal Membership
- Hispanic
- Specify National Origin/Ancestry
- Chicano/Mexican American
- Cuban American
- Puerto Rican
- Other
Tab #3: Application Program Data:
Note that the Program number is not editable
Choose an Admit term by clicking on the magnify glass
You will see a listing of terms with new 4-digit codes & descriptions
Make sure to choose the correct term for which the student is applying
Expected Graduation term: Leave this field blank.
Choose the students Academic Program from the provided list.
Based on the Academic Program you will then need to select the appropriate Campus. The Downtown campus is currently included in the Tempe Campus.
Academic load: This will default to full time
Program Status: this will default to Applicant
First row should always be entered as applicant (AP)
Program action will initially default to application
Action Reason: Not all action codes have attached action reason
Action Date: This field is not editable; this is the date the application was loaded.
Plan Data:Click on the magnify glass to the right and a menu of plans (majors) for the academic program will become available. Choose the appropriate plan (major) for that program.
Hint: by adding a row here, PS will assume that you are adding an application, not changing an application status (to admit, for example.)

Tab #4: Application Data:
Choose the student’s Application center:
GRAD should be your only choice.
Application Date: date application was submitted
This date will default to the date on which you are entering the application –this date can be changed to back date an application if needed.
Academic Level: anticipated academic level (not required)
Application method: if entering a manual application, select hard copy
Housing interest and financial aid: We don’t need to enter information in these fields
File information: Asking for a mod to mark this complete (driven by checklist)
External app number: free form field that we are not currently using
Application fee: If the app loads from the web application it will already be calculated; otherwise click on ‘Calculate Application Fee’ (described below)
Fee type: select ‘Standard’ for all applications.
Admit Type: select a choice from the menu (examples: degree seeking student, non-degree, sponsored application)
Calculate Application fee
When entering a payment by check, use this field to enter the check number and the name on the check.
Mark fee as ‘received’, ‘pending’, or ‘waived’ as appropriate.
Application School/Recruiting
This page can be left blank.
