Job Summary: / Responsible for handling the logistics of the annual campaign including direct mail, advertising, website updates, and liaising with donors.
The Development Associate will be responsible for managing the donor database, supervising database staff and meeting project timelines. In addition, the Development Associate will assist the Development Manager in planning and management of activities and projects within the Development Office.

Key Duties and
Responsibilities: /
  1. Annual Campaign
  • coordinates, develops and implements the day-to-day operations of the annual campaign for VWTH.
  • with the Development Manager, develops and prepares all prospect and renewal materials required for annual campaigns as well as any other campaigns initiated by the Development Department. This includes materials for direct mail campaign, thank you letters, and other correspondence with donors. Donors will include individuals, corporations, foundations, service clubs and other funders outside of government.
  • responsible for creation and publication of newsletters, fundraising brochures, annual reports. Liaison and coordination with designers to produce materials.
  1. Relationship Cultivation/Recognition
  • establishes and maintains strong relationships with donors, corporate supporters, grant funders and partners. Participates in the research and identification of prospects.
  • promotes communication regarding the Development Department with staff, board and volunteers through appropriate methods.
  1. Budget and Financial Reporting
  2. coordinates the annual campaign budget, monitors the budget throughout the year, and prepares monthly progress reports for the department.
  3. Prospect/Donor Research
  • under the direction of the Development Manager, the Development Associate assists with identification of individuals, corporations, foundations and other groups who may be beneficial to the work of the Society.
  1. Foundation/Grant Proposals
  • prepares first drafts of funding proposals for various annual funding opportunities (applications for gaming/direct access, foundations and service clubs) as well as for special projects or funds.
  1. Case Research and Development
  • plays a key role in the case statement development process.
  • researches and writes first draft of the case statement for use in fundraising and marketing materials. Updates the case statement materials annually.
  1. Public/Media Relations
  • under the direction of the Development Manager, prepares media releases and assists in the management of media relations related to the Development Department. This position may prepare media materials for the Executive Director and/or Board.
  • development, promotion and presentation of fundraising materials for use in digital presentations and on the website.
  1. Policy Development
  • under the direction of the Development Manager, assists with policy development for the department.
  1. Special Event Coordination
  • under the direction of the Development Manager, assists with special event coordination, particularly third party events. Provides direction and support to staff and volunteers involved in the event planning and execution.
  1. Supervises database staff:
  • participates in the recruitment and selection of database staff.
  • schedules database staff in accordance with workflow and department requirements.
  • orients, determines the need for, and provides training to staff, volunteers and practicum students.
  • provides direction and oversees the day-to-day work of database staff and management of the donor management system, provides feedback on performance and conducts performance evaluations.
Performs other related duties as required.

Additional Information: / A diploma or certificate in professional fundraising management and/or communications and marketing. Three years of fundraising experience along with direct experience in coordination of an annual campaign, and one year of supervisory experience or an equivalent combination of education, training and experience. A CFRE in progress would be an asset. Experience in a non-profit setting is essential.
A proven track record in marketing and communications including development and publication of materials for both internal and external use, media relations, and communications directly related to fundraising and development.
Strong administrative skills and senior computer skills are required including Outlook, Excel, Word, (budgets, graphics and formatting). Additionally, comfort with donor management software a definite asset.
Experience with print production, website and digital communication.
The position requires superior communication skills, both oral and written, organizational skills, attention to detail, and strong relational skills with staff, volunteers, board and community. Abilities to take initiative, manage multiple and diverse projects and deadlines, work both independently and as part of a team are critical.
The Development Associate is required to maintain confidentiality regarding all donor and program information. Use of a vehicle is required. Some flexibility in scheduling will be required to manage events and attend meetings.
