Instructions for using CAbi’s Show Manager

Hostess Planner Guide

O You will receive an email with a link that directs you to your hostess planner.

O You will be asked to enter a temporary user name and password from the email.

OYou then are asked to choose a permanent username and password.

O You will receive an email confirmation with your new username and password

for your reference.

O You will be asked to enter the location for your show and select: Save. This will take you to your Show Manager home page.

Create Contacts

The first step in managing your show is to create a list of contacts. This list of contacts will be stored in your Address Book. Once a contact has been added, you will not need to re-enter her for future shows. Contacts will not be deleted unless you choose to do so.

o Select: Add Contact.

o Enter her first name, last name, and email address exactly as they should appear on her Save the Date, CAbi-vite, and Reminder emails.

o Select: Submit.

o To change a contact’s information select: Edit.

o To remove a contact from your Address Book select: Delete.

Adding Guests to your Show

Once you have entered your contacts into your Address Book, you will add them to your Guest List.

O From the Show Manager page select: Add Guest.

O Select the contacts that you want to add to your Guest List.

O Please note that you can add guests to your show at any time by following the

instructions above, even after you have sent the invitation to your original

Guest List.

O To delete a guest from your Guest List, check the box next to the guest’s name and then select: Delete Guest.

O Enter yourself as a guest. This will serve as proof that your guests received their e-mail.

Send Save the Date

In the Upper Left hand corner, Select “View All”

o To send a Save the Date, check the boxes next to the guests you wish to send

the email to, and select: Send Save the Date.

o Enter a personal message that will appear on the Save the Date email for your

guests and select: Preview, Send, or Back.

o After you have sent a Save the Date email, a check mark will appear on your

Guest List next to the guest’s name.

Send CAbi-vite

In the Upper Left hand corner, Select “View All”

o To send the CAbi-vite, check the boxes next to the guests you wish to send the email to, and select: Send CAbi-vite.

o Enter the phone number you would like to appear on the invitation (optional) as well as a personal message that will appear on the email to your guests.

o Select the photo you wish to appear in the email, and then click: Preview,

Send, or Back.

o After you have sent the CAbi-vite, a check mark will appear on your Guest List

next to the guest’s name.

Send Reminder

In the Upper Left hand corner, Select “View All”

o To send a reminder about your show, check the boxes next to the guests you

wish to send the email to and select: Send Reminder.

o Enter three personal messages for those that have responded Yes, No, or

Maybe. If a guest has not yet responded, she will receive the Maybe message.

o Select: Send or Back.

o After you have sent the Reminder, a check mark will appear on your Guest List next to the guest’s name.

Tracking RSVPs

o The CAbi-vite that your guests receive will give them the option to respond Yes, No, or Maybe.

o Your CAbi Hostess Planner will automatically track the responses that each

guest submits. It will also display the total number of each response at the top

of the column.

o You can also manually enter a guest’s RSVP or change an existing RSVP by

double-clicking in the Yes, No, or Maybe box next to the guest’s name.
