Instructions for the presentation of
National Reports
for the PIARC XXIVthWorld Road Congress

The instructions that follow are for the preparation of National Reports for the XXIVth PIARC World Road Congress2011. To ensure timely and efficient production of the congress proceedings that are in a consistent and easily readable format, authors must submit their manuscripts in strict conformity with these instructions. Your cooperation in adhering to these instructions is greatly appreciated.

The format of this document can be used as a template for the production of the National Reports.The cover page that follows, the headings, sub-headings and paragraphs, have all been saved as styles in the electronic version of this document for ease of use.

  1. introduction

These instructions are for the preparation of National Reports for the XXIVth PIARC World Road Congress. To ensure timely and efficient production of the congress proceedings that are in a consistent and easily readable format, authors must submit their manuscripts in strict conformity with these instructions. Your cooperation in adhering to these instructions is greatly appreciated.

  1. LANGUAGE

The manuscriptshall be produced in both English and French in separate electronic files. The authors are responsible for the translation and both versions should be carefully synchronisedfrom paragraph to paragraph. A version in Spanish can also be submitted but this is not compulsory.

  1. electronic FORMAT, paper size, margins, font, page limit

Manuscripts must be submitted in electronic format usingMS-Word 2000 or later version. The size of the electronic file should not exceed 3 Mo.The proceedings will be produced directly from the submitted electronic files.

Paper size must be A4 (297 mm x 210 mm).The top, bottom, left and right margins must be set at 2.0 cm.

The font type of all text and headings must be Arial 12 pt, unless it is indicated otherwise in these instructions or template. Text must be single-spaced and fully justified.Bold and underline must not be used unless indicated otherwise in these instructions or template.Please do not insert any headers, footers or page numbers.

The maximum number of pages is 16 (approximately9,000 words) including figures, tables, and references.

  1. COVER PAGE

Please maintain the line spacing as shown on the preceding cover page.With reference to the cover page, replace:

  • {Country name} with the name of your country,
  • {#} with the number of the Strategic Direction Session your report is being prepared for,
  • {Strategic Direction Session title} with the title of the Strategic Direction Session your report is being prepared for,
  • {Author’s name}with the name of the Author (first the initial of the first name, then the last name). If any of the co-authors have the same affiliation as the first author, add his/her name after an & (or a comma if more names follow),
  • {Affiliation} with the affiliation of the author in the following format: name of the institution, City, State/Province, Country,
  • {Email} with the email address of the author,
  • If there are authors associated withother institutions, leave a blank line, then repeat this procedure.

  2. Headings, sub-headings, indents and line spacing

Headings [Heading 1] must be in upper case and bold typeface. Sub-headings [Heading 2] must be in title case and normal font.Headings and sub-headings must not be indented.

Before headings, there must be two blank lines (12pt).After headings, there must be one blank line (12pt).Before sub-headings, there must be one blank line (12pt).After sub-headings, there must be one blank line (6pt).

All headings and sub-headings must be numbered.If a heading or sub-heading falls at the bottom of a page, it must be transferred to the top of the next page.

The first line of paragraph must not be indented. There must be a blank line (12pt) between two paragraphs.

5.2.Abstract

The abstract must start at the top of the first page.The abstract should not exceed 400words.

Figures and tables

Figures, tables and photographs must be placed in the appropriate location, aligned centrally, and positioned as close as possible to the reference in the document. They must have a caption, with a dash dividing the number and the title, for example Figure 1 - Evolution of modulus.They must be numbered consecutively, for example Figure 1, Figure 2, Table 1, Table 2 etc.

Captions must be placed at the bottom of the figure and the photograph or at the top of the table and aligned centrally.

5.3.References

At the end of the manuscript, authors must list all references in alphabetical order using the following example format:

Muncy, S. G. (1993). Cold in-place recycling practices in North America. 5th Eurobitume congress. Vol 1B, paper 4.39, pp 886-889

References must be cited in the text using the last name of the first author and the year of publication, for example (Muncy, 1993).

5.4.Electronic file names

The names of the electronic files must use the following nomenclature:

RN-xxy-Z.doc

Where:

  • xx is the two letter abbreviation for the name of the country (use those abbreviations used in e-mail addresses i.e. fr for France, jp for Japan etc.),
  • y is the letter representing the Strategic Direction Session (A for STA, B for STB, etc.),
  • Z is the one letter abbreviation for the language version i.e. E for English; F for French; S for Spanish.

By way of example, the file name “RN-jpC-F.doc” will be the National Report from Japan, for the Strategic Direction Session C, in French.
