Hiring Unit 11 Employees

Instructional Student Assistants (ISA), Graduate Assistants (GA), and Teaching Associates (TA)

The following is an overview of procedures required to hire Unit 11 employees. Please contact the Faculty Affairs Office with any questions; Joseline Dyas, 760/750-8368.

Posting New Positions

The Unit 11 Collective Bargaining Agreement requires all available positions be posted. Please post all open positions online with Cougar Jobs http://www.csusm.edu/careers/cougarjobs/.

The following documents must be completed and originals submitted to Faculty Affairs when hiring a Unit 11 employee:

  1. Employment Application
  2. Job Description
  3. Academic Transaction Form (ATF)
  4. Academic Transaction Form (ATF) to end the appointment
  5. Enrollment Verification
  6. Appointment Letter: For TAs this is the ‘Statement of Terms and Conditions of Appointment’.

Procedures for Completing Paperwork

  1. Student completes and signs a Unit 11 Job Application and submits to the hiring Department.
  2. Hiring department verifies and prints student’s current semester enrollment status.
  3. Department completes the Job Description, ATFs (printed on BLUE paper), and the Appointment Letter. Supervisor must sign the Job Description
  4. Department obtains signatures from Department Chair/Program Director for the following:

  6. ATFs
  7. (TAs only) Statement of Terms and Conditions of Appointment
  8. Retain copies of all documents for your records.
  9. Department routes all required documents to the Dean’s Office.
  10. Dean’s Office verifies, obtains MPP signatures and routes all documents to Faculty Affairs.
  11. Once all documents have been approved, Faculty Affairs will notify the department when documents are ready for pick-up.
  12. Department picks up and obtains the Unit 11 employee signature on the Job Description and Appointment Letter a minimum of 2 weeks prior to their start date. Department to provide copies of both documents to the student employee. Send signed originals documents to Faculty Affairs. Optional: you may retain copies for your records.
  13. Department emails Receptionist in Human Resources with approximate number of new Unit 11 employees so HR can prepare on-boarding packets.
  14. Department provides all new student employees with a copy of their Appointment Letter to take to Human Resources and complete the HR Sign-in process prior to their first day of work.
  15. Faculty Affairs maintains all original documents in employee’s Personnel Action File (PAF).
