About the Position

The Receptionist/Office Administrator is responsible and accountable for reception, scheduling appointments, office and facilities administration, absences database, and other administrative tasks.

Responsibilities/Accountabilities

Reception and General Administration

Given the primary responsibilitiesof this position – i.e. switchboard and greeting visitors, there is limited flexibility for unscheduled absences or leaving the reception area.

Manage switchboard

Greet visitors

Maintain a tidy and welcoming Reception area

Oversee and manage mail, couriers, and catering services

Manage stock room and kitchen inventory

Maintain internal and external phone and contact lists

Manage tenant/landlord property administration and requests

Record staff vacation and sick time

Manage subscriptions

Update phone extensions and voicemail, liaison for telephone systems issues

Manage ‘info’ email inbox

Perform routine bookkeeping and clerical accounting duties

Other

Type and edit letters and reports

Update website content

Assist other staff as time permits

About You

You understand and respect that because Reception is your primary responsibility, you have limited flexibility for unscheduled absences and leaving your desk during the day.

You are a generalist and enjoy being busy. You are able to maintain composure under pressure with multiple and changing priorities and remain focused on achieving desired outcomes. Despite frequent distractions and interruptions, you are able to provide quality and error-free results.

As an administrator, you understand how to deal with sometimes sensitive and confidential information. You are collaborative, patient, and a critical thinker. You are a natural at building relationships and delighting both internal and external customers with your “Do what it takes” approach.

As a creative and proactive staff member, you show initiative when addressing challenges. You look for opportunities to improve work practices, help others, and learn new tasks.

Experience/Skills/Education

Required:

Minimum 2 years experience in an administrative role

High school diploma

Switchboard

Proven Microsoft Office skills – particularly Word, Excel and Outlook

An aptitude with numbers or accounting would be an asset
