Fundraising Events Administrator - Job Description

The Role:

To be responsible for the management of all administrative processes for the fundraising team.To be the first point of contact for fundraising enquiries and materials requests from individual supporters and to distribute corporate fundraising requests to the Head of Fundraising for deciding the appropriate course of action.

The Fundraising Events Administrator needs to be self-motivated, think for themselves, articulate and fast-working with the ability to prioritise workload.

KeyResponsibilities:

  1. Provision of day-to-day support to the Head of Fundraisingand Corporate Relationship Manager, enabling the provision of a proactive and professional fundraising service to LGFB Supporters
  1. Responsible for all administration relating to the fundraising function, including but not exclusive to:
  2. Updating of supporter data ontodatabaseon a weekly basis
  3. Updating and management of fundraising materials and stock control of all fundraising items
  1. Manage the recruitment of and day-today communications with Community Fundraising Champions
  1. Management of thanking for all fundraising activities under £2,000 and liaison with Executive Assistant on all donations over this amount with a decision as to who best to respond. Maintaining the KPI of 100% of thank you letters despatched within 1 week from receipt of donation being banked and showing on LGFB Statement
  2. Provision of support to member companies, partner organisations and individual supporters with their fundraising activities through advice, provision of fundraising materials and attending their fundraising activities (where appropriate)
  1. Point of contact for the administration for events – provision of information, fundraising materials, updating of participant data
  1. Completion and distribution of Waitrose Community Matters applications and the management of the process to deliver the budgeted annual fundraising target
  1. Management and coordination of Just Giving account and reporting
  1. To provide back office support to the Community Fundraising Champions and Regional Coordinators with their fundraising activities
  1. Support to the Head of Fundraising in the development and production of fundraising materials and facilitated giving items within the targeted ROI
  1. Obtaining of comparable quotes, liaison with third parties in the production and timely delivery of fundraising materials
  1. Representation of Charity at various external fundraising events (where appropriate)

KeySkills

  • Effective communicator both written and verbally. Good phone manner
  • Attention to detail, excellent writing ability and project management skills are essential
  • Proactive and able to think for yourself and work off own initiative

PersonalDevelopment:

Whilst there are no funds for external training in this role in the 2016 budget, The Head of Fundraising will provide on the job training and will also use contacts to help provide professional fundraising training e.g. free training and seminars through The Foundation for Social Improvement..

The annual holiday entitlement is 25 days a year, with a mandatory two days to be taken at Christmas. Core hours of business are 9.00am to 5.30 pm Monday to Friday. There is a probationary period of sixmonths during which time the contract of employment can be terminated by both sides with a period of one week’s notice. After successfully completing the six month probationary period, full employment terms are applicable.

This position is full time, based at our office in Epsom.

From time to time working outside of the core hours will be required and occasional weekend and evening working. At these times lieu time will be granted for addional hours worked. These lieu hours must be taken within one month from additional hours worked.
