Where an individual has been provisionally selected for redundancy, the manager should arrange a meeting to discuss the situation with them, using the prompts below. This should be followed up with a further meeting to consider any response. The manager should document the discussion in the boxes provided.
The individual should be notified in advance of their right to bring a representative to this meeting.

  1. Explain the reason for the meeting. Give the employee a copy of Form 1. Explain:
  • the case for redundancy and the background to this
  • how the pool was determined
  • the fact the individual has been provisionally selected for redundancy
  • the basis for the provisional decision (ie. where no pool exists, that the individual has been selected on the basis that the post is unique; where a pool exists, explain the provisional selection decision with reference to the selection criteria)

  1. Explain and discuss the alternative options that have been considered and whether there are any options that can be explored further (e.g. alternative funding streams, allocation to other funded work, natural wastage voluntary redundancy, etc).

  1. Explain the likely timetable of events:
  • All redundancy proposals have to be approved by a Redundancy Committee
  • Following individual consultation, the manager/HR will complete Form 2 and forward via the HoS/Dean to the central HR team who will write to the individual confirming the details of the Redundancy Committee.
  • The individual has the right to make representations to the committee either orally or in writing before the final decision is made and to be represented at the committee meeting. This will be explained in the letter from HR.
  • The relevant trade union will also be notified and they may also make representation.
  • If the Committee approves the case, the individual will be formally issued with notice as per their entitlement. (Clarify the individual’s own notice period).
  • A letter will be issued by the Faculty/Division HR team following the Redundancy Committee and it will also include details of any redundancy payment and arrangements for continuing attempts to secure alternative employment. (Details of what the redundancy payment will be can be obtained in advance from HR).
  • Outline the re-deployment process( discuss types of roles the individual would be suitable for and explain how to join the University's Redeployment Pool (URP) (
  • Explain that throughout the proceedings, including throughout the whole notice period, the University will continue attempts to secure suitable alternative employment.
