TENDER NOTICE

IIE intends to give Annual Contract for maintenance of Fire Alarms and Fire Fighting Systems. Interested parties with requisite experience and expertise in such jobs may collect Tender papers containing the details of the equipments and terms & conditions on payment of Rs. 500/- (non refundable from the Administrative Officer) from 18.10.2016 to 27.10.2016 (working days) and are to summit the same on or before 27.10.2016 up to 02.30 P.M. Tenders will be opened on the same day at 03.30.P.M. The same can also be downloaded from www.iie.gov.in .Downloaded application should be accompanied by a DD of Rs.500/-(Rupees five hundred) only (non refundable) in favor of Director,IIE,Guwahati.

TENDER TERMS AND CONDITIONS

1. The Tenderer / Firm has to deposit a sum of Rs.5,000/-( Refundable) as EMD along with the Tender.
2. The amount of EMD shall be paid either in cash at IIE cash counter and receipt to be attached with the tender form or in the form of cross demand draft in favour of the Director, IIE, Guwahati.
3. The Tender will not be accepted without prescribed EMD.
4. The quoted rates should be inclusive of all ; i.e. Labour, VAT charges etc.
5. Tenderer has to submit Tax Clearance certificate.
6. PAN Card ( photo copy) has to be submitted along with the tender.
7. The quoted rates should be valid for 1( one) year from the date contract and no escalations of rates are allowed during the period.
8. Sufficient no. of persons should be engaged for performing the work and IIE will not take any responsibility for the technicians engaged by the firm.
9. Tenders will not be received by post.
10. No conditional tender will be accepted.
11. Sealed and filled in tenders along with EMD should be submitted on or before 27.10.2016 till 2.30 P.M. The same will be opened on the same day at 3.30 P.M. In case the date of opening of the tender is changed due to unavoidable circumstances, the new date and time will be intimated to the tenderer.
12. The award of contract may not necessary be given to the lowest bidders and the Institute is not bind to award the contract to the lowest bidder.
13. The Management of IIE reserves the right to reject any or all tenders without assigning any reason.

GENERAL TERMS AND CONDITIONS

1. The Annual Maintenance Contract will be valid for a period of 1 (one) year from the date of award of the contract and acceptance to the terms and conditions by the firm.

1. The agency will maintain the automatic fire detection units any interruption.

1. The technical persons of the agency will carry out the inspection of the whole system once in a month and will rectify the same if any defects found therein . During inspection if any spares are found to be defective , the same shall be replace immediately which will be paid extra on submission of vouchers with bills.

1. Complete checking of the detection system includes:-

i)Cleaning and servicing of detectors, R.L, MCP, Hooter etc.

ii)Checking of electrical connection to individual detectors, MCP, Hooter and on the main control panel.

iii)Checking of complete control panel i.e alarm, indication and announcing system etc. Complete as required.

1. After complete inspection, cleaning and rectification, the technicianswill test and run the whole system and after satisfactory testing obtain a compliance report duly signed by the user in charge of the site.

1. The agency will have to attend the site if any complaints received between 10 A.M. to 5 P.M. on the day itself and any complaint received after 5 P.M. will have to be attended the very next day. However, in case of emergent nature of problem, the agency will have to attend to the problem on the same day.

1. The agency will maintain a logbook for recording the monthly maintenance work attended, rectify complaint attended / rectified duly signed by the users and in charge of the site.

1. On getting any information regarding any fault, the technicians will have to attend within 24 hours if the information received within office hours for which no extra charge will be charged.

1. The maintenance will cover the minor consumable items.

1. Any spares required to keep the system in perfect condition will be borne by this Institute at the market price and the labour charges will be borne by the firm.
