Item 1 – Welcome and Apologies
1. The Chairman opened the meeting at 1600hrs and welcomed all present. Apologies were given for those unable to attend.
Mr P Caswell read the RAF Association Dedication, a minutes silence was observed.
Item 2 – Minutes of the last meeting
2. The Minutes of the last AGM, held on 12 Mar 15, were agreed as true record.

Item 3 – Matters arising from the last meeting
3. There were no matters arising.
Item 4 – Chairman
4. The Chairman welcomed all those present and briefly reviewed the achievements of the Branch during the last 12 months. The turbulence in Defence tasking and the changes within 90SU to the structure of the Unit had impacted upon the support provided to the Branch and to fundraising initiatives during the past 12 months. However, the Branch Execs will be focussing on the following during the next 12 months:
  • Increase funds raised to support the Wings Appeal
  • Memorial Service at the Unit Memorial, NMA, Staffordshire
  • Sponsoring those wishing to take place in charity events through paying admission fees, providing support equipment, PR items etc.
  • Provision of Welfare packs for deploying personnel
  • Increased support to members of the Branch Committee and a more proactive approach in promoting the Branch and the work of the Association.
  • Identification and development of ‘tools’ to assist in promoting the Branch.
  • Review of Branch Merchandise available for sale to generate funds for the Wings Appeal
The profile of the Branch continues to be raised within the Association and new initiatives led by the Branch are already being adopted by other Branches. This proactive approach is seen across the whole of the Branch and Members should be proud of what has, and continues to be achieved. / All Members
Item 5 – Treasurer Report
5. TheTreasurer delivered theFinancial Report covering the last financial year. This was accepted as a true record by those present. A copy of the Financial Report for 2015 is attached.

Item 6 – Secretary Report
6. The Secretarydelivered a précis of the events that the Branch have been involved in during the last 12 months and provided a brief overview of forthcoming events for the next six months.
7. Following a 100% check of Branch Membership against the records held by CHQ the current Branch Membership stands at 199. Letters will be written to those whose Membership lapsed at the end of 2015 to encourage them to renew their Membership and take advantage of the benefits that being a member of the RAF Association provides. / All Members
Item 7 – Public Relations Officer (PRO) Report
8. The Secretary informed the meeting that the Branch Website is currently going through a period of review in line with new initiatives being progressed with the Marketing Dept. CHQ. Currently it is aimed to relaunch the site before the end of Apr 16[1]. / All Members
Item 8 – Wings Appeal Officer Report
9. The Secretary informed the Branch that it had raised in total £402.00 in support of Wings Appeal 2015.
Item 9 – Honorary Welfare Officers (HWO) Report
10. The HWO informed those present that during the last year there had not been any Welfare Cases but advise had been provided to Branch Members in relation to:
  • Pension entitlements (on leaving the service medical/invaliding)
  • War Pension and AFCS 05 guidance
  • Homelessness of ex-servicemen
  • Entitlements to grants and welfare support, via RAFA, RAFBF, SSAFA or the state

Item 10 – Dissolution of the Committee
11. In the absence of the President and Vice President (both unable to attend due to duty commitments) the Chairman dissolved the Committee.
12. The Chairman thanked all Committee Members for their individual and collective contribution in supporting the TCW & 90SU Branch of the RAF Association. Without this the Branch would not be held in such high regard nor lead the way in several ground breaking initiatives. The time and effort that key individuals have dedicated to the Branch and Association is highly commendable and has resulted in the Branch being held in very high regard within the Association. He concluded by encouraging the younger members of the Unit to get involved and continue to perpetuate the support and enthusiasm shown by the Committee and Trustees since the Branch was formed in 2010. / All Members
Item 11 – Election of the new Committee
13. The Chairman invited those past Branch Officers to seek re-election in their former posts.

15. The Chairman welcomed the new members to the Committee and encouraged those in attendance to assist where they can in fundraising and raising the profile of the Association.During the next 12 months the aim of the Committee will be to engage more with current and prospective Branch Members, recruit new Members, raise funds and also identify opportunities to help members of the RAF Family. A list of Committee Posts is attached
The new Committee details will be forwarded to Area HQ by the Secretary viaRAFA Form 1056[3].

PROPOSALS FOR CONSIDERATION AT THE TCW & 90SU AGM (12 MAR 15)

1. Commissioning of a stone to be placed on the TCW & 90SU Memorial
The Unit Memorial, to remember all those who have served on TCW and 90SU who die whilst still serving in the Royal Air Force was commissioned and dedicated in 2010 and is located at the National Memorial Arboretum (NMA) in Staffordshire. Following submission in 2010 of the business case for the Unit Memorial and the staffing of the design to the Trustees of the NMA it was agreed that the Memorial would only reflect the name of those that dies whilst still serving. This decision was made based on projected costings and available space in the area of the Memorial.

During the last three years there have been cases when ex members of the Unit have passed away after they have left the service and requests have been received to have their names placed on the Unit Memorial. This has not been possible and while an option does exist for families to purchase a stone to be placed on the Royal Air Forces Association Memorial this is not an option that all families are interested in.

It is proposed that a stone be commissioned to remember all those that have, and in the future, pass away after they have left the Royal Air Force. Details of the commission and associated costs are outlined below:

To supply one natural York stone tablet of which the size is to be 48” wide x 4” deep x 2” thick. The inscription is to be cut only and to read as follows:

The Branch receives an Annual Rebate of al membership fees applicable to Full and Associate Members as of 31 December. The rebate for 2014 totalled: £759.40.
A copy of the design reflecting the positioning of the stone in relation to those already in place (including the stone for Sgt Wildman that will be dedicated in 2015) is available on request from the Branch Secretary.

2. Professional cleaning of the TCW & 90SU Memorial
It is proposed that the Stonemason who was responsible for producing the Memorial and all additional stones be contracted to professionally clean and replace Cotswold Stone Chippings as required. Details of the task and associated costs are outlined below:

Note that the Branch retains a balance of £300.00, as minuted at the Branch AGM 2012, to cover the annual cost of any maintenance to the Unit Memorial. Therefore this proposal did not require to be voted on.

3. Purchase of RAF Association Branded Banners for use in supporting Branch and Unit Events

In order to enhance fundraising and recruitment opportunities it is proposed that the TCW & 90SU Branch purchase banners and signage promoting the Association and the support it provides to those serving and ex-serving members of the RAF Family. The designs that have been chosen are based upon those already in use across the Association with the addition of the TCW & 90SU Branch Information. Costings for the purchase and carriage of items are outlined below:
