Background to Role

ImperialCollege Healthcare Charity manages the charitable funds of Imperial College Healthcare NHS Trust whose hospitals comprise St Mary’s, Western Eye, Charing Cross, Hammersmith and Queen Charlotte’s. The NHS Trust is one of the largest acute trusts in the country and, in partnership with Imperial College London, was the UK’s first Academic Health Science Centre (AHSC).

The charity’s objects are “for charitable purposes relating to the National Health Service or for the general or specific purposes of Imperial College Healthcare NHS Trust”. The charity is in the top ten of NHS charities according to the size of its assets butis much lower in the ranking for voluntary income.

The charity needs to raise substantial funds in order to carry out its strategic priorities:

  1. Support the AHSC as a leader in clinical care, research and education; taking research from the benchside to the bedside in order to deliver world-class healthcare to patients.
  1. Support the improvement of the health of the local communities by encouraging leading edge projects not only in the Trust, but in local PCTs and other local health organisations.
  1. Support the Trust’s staff in improving their skills in order to deliver first class patient care and patient experience. The charity will encourage innovation and leadership in staff.

Purpose of Job

Responsible for managing the database;receiving and accurately inputting all donations and acknowledge; distribute (internal and external) marketing and promotional literature and maintain records; production of in-house direct mailings; support the Director of Fundraising.

Dimensions and Scope of Job

The Data Administrator/Donor Support Officer will need to develop contacts and build staff networks within Imperial College Healthcare NHS Trust. The postholder will provide a highstandard of service to donors and support the team as required.

Main Duties and Responsibilities

Input donations into database (cheques, credit card payments, CAF’s, direct debits - standing orders from bank statements) and maintain Gift Aid records as appropriate.

Acknowledge donations in a timely way and where appropriate advise colleagues with supporting information for special responses and further action.

Respond to queries and correspondence relating to donations.

Support post opening rota under direction of Administration Manager.

Manage the fundraising database and ensure its cleanliness; produce reports from the fundraising database as required.

In conjunction with Director of Fundraising plan and implement segmentation programme of fundraising data for effectivetarget marketing.

Produce in-house direct mailings (production of letter/envelopes through to mailing to target audience) provide datafile for mailing house as required.

Deal with requests, verbal and written, from potential fundraisers and supply information as required or forward to departmental colleagues as appropriate.

Distribute marketing and promotional tools (literature, merchandise etc)internally and externally;manage and maintain a distribution schedule and stock levels of marketing and promotional tools.

Manage distribution of collecting boxes, where they are located, when they were logged out and returned, amount raised etc.

Research potential donors (major donors, individuals, corporate etc) as agreed with Director of Fundraising.

Carry out administration of legacy and in-memoriam donations; maintain records and produce regular reports of expected and actual income.

Working with Director of Fundraising maintain and update departmental processes and procedures.

Manage departmentalfiling, hard copy and computer.

Attend fundraising events and activities to support the fundraising team.

Support the Director of Fundraising as appropriate e.g. by organising meetings and taking minutes.

Work with all members of the team to achieve departmental targets.

Any other duties that may be required in order to ensure the smooth and efficient running of the fundraising department.

The Director of Fundraising will agree annual objectives and personal development needs, which will include training as part of the job.
