GOVERNING BOARD MEETING

Opening items: Call to order, Quorum ascertained

Thanks to Justin. Approval of Agenda . Approval of Previous Minutes from Nov 2016.

Central Office – Justin Hedrick reports the new office working out of home working well.

Officers’ Reports:

President – Lynette Zelis 1. E-festival, ISMTA webinar-very worthwhile. Students are judged by tapes for $60. Begins in early May. Teachers in ISMTA who would like to judge these can get more information on becoming a judge on the MTNA website.

2. NEA national arts program at risk. Call your legislator to give your opinion. More ways of becoming a voice for the arts are available on the MTNA website.

3. In the next board meeting two ISMTA Vice Presidents and two directors are to be elected.

First Vice President, Conference –Karen Ball Conference to be held at Olivet Nazarene University. The school of Music is especially helpful in offering space and performance accommodations for no fee. The hotel, Comfort Inn is $75 if you register by October 10th. We are trying to secure NIU for 2018.

Second Vice President – Deborah Lynch - Announced new ISMTA chapter being begun at Bloomington/Normal area. It will meet in Wesleyan.

Treasurer-Jeff Kleinsorge - He needs to know ahead of time if you expect to exceed the budget allowed for your committee. ISMTA may consider applying for a grant or sponsorship, thinking about hiring a grant writer.

We're on a money-losing trend.

This trend is not due to special expenditures. It appears to be due to regular expenditures.

If we continue to spend down our savings at this rate, we will be broke in FIVE years.

I am currently gathering the data I need to propose a 2017-18 budget that will bring regular spending more in line with our yearly revenue, so that we are not relying on savings for regular expenses.

I recommend that we NOT make any significant special expenditures at this time. Spending our savings will only hasten our progress toward zero.

This year will end in a deficit, and so will next year. I believe the best we can do for next year is slow the rate of descent.

Chair Reports

Aim- Hellen Grosshans – Offered discussions on the adoption of the CODA system for Compositions Online Database Access. The system is already in use by North West Suburban, Joliet, Egyptian and Kankakee Valley local associations. An alternative is to have Alejandro Cremaschi from Colorado (creator of our website) for a search program of the AIM repertoire. In addition, AIM is now assuming the cost of the Central Office staff completing AIM tasks so a review of AIM receipts and expenses was undertaken. This included local association costs of $12 for the $48 plaques, cost of AIM participation fee, and cost of workbooks. We need AIM representation from around the state on the AIM committee for more specific repertoire, brainstorming about new ideas, program preparation and technology expertise. Any position of the AIM committee can be tailored to your interest.

Collegiate Chapters-Chee-Hyeon Choi She suggested college students could meet more easily on Saturdays during the conference rather than Fridays.

Competition Coordinator-Jennifer Cohen Suggested to try as a pilot program having competitions based on two state areas, each with its own winners and competitions. She gave example ideas from talks with ISMTA members who suggested the benefits and , [perhaps) more participation if this were tried.

MTNA Foundation- Deb Inch After a successful year Deb is open to nominations for the next Foundation Fellow. Her ideas for fund-raising include gift cards for various services that everyone would want to donate to a raffle.

Group Piano Chair – Susan Osborne Her plans are to have a presenter for the conference in November. Please send ideas or suggestions to her.

Independent Piano Chair – Le Ann Halvorson Lee Ann offered an idea to have a poster set up on an easel at the conference and ask teachers to post topics they would like to be discussed.

Membership – Yeeseon Kwon She suggested changing the name at the ISMTA WEBSITE urged changing the name of the lunch at the conference to the NEW TEACHER LUNCH.

Wellness Chair Dora Diephouse She offered the MTNA website for the Wellness Track to be used (with permission) on the ISMTA website.

String Chair – Sue Slater String revisions are completed through level 5. She could use some help with completing the rest of the upper levels..

Newsletter editor – Laurie Marshall. Looked into the great newsletters of other states, particularly CA and WI. There are programs we could use to help format a usable online newsletter that could be downloaded for print as well. I will be looking into these options. We will plan on having a summer, fall and spring newsletter to begin with. The newsletter with feature articles from the various committees, the president, announcements and include advertising.

New Business

  1. Motion seconded and passed have only two separate districts in the state competitions, north and south districts with their own competition and separate “winners” was approved as a pilot program beginning 2017.
  2. Motion seconded and passed to have the Composer commissioning program impose the rule “established composer” of 22yrs or older.
  3. Motion seconded and passed to hire Alejandro Cremaschi, paying him $300, to create an AIM Syllabus repertoire search tool using the repertoire spreadsheet put together by Mary Beth Molenaar. Members of the board will test out this search tool this summer. The plan is to incorporate this into our website. The board agreed that the AIM syllabus program is owned by ISMTA, must be housed on the ISMTA website and will not ask local associations to pay for a search program.
  4. Motion seconded and passed to pay Alejandro Cremaschi $400 to begin creating the Voice AIM syllabus and workbook PDF’s. This amount will cover the work he could do for creating downloadable syllabi and workbooks in the future for other AIM programs.
  5. Motion seconded and passed to raise State duesfrom #32 to $35 for 2018
  6. Motions seconded and passed for following AIM changes: The board agreed to raise the following fees: Local associations will pay $12 per plaque and participation fees: Levels 1-8 $3, and Levels 9-12 $5.
  7. Motion seconded and not passed to judge the collegiate poster sessions and to award $50 to the winning poster.
