IHS Sales to Production Workflow Process Map

After the successful completion of a sale, the following steps will help to ensure the timely completion of the project; and assist in project planning, tasking, execution and management.

1.)Upon receiving a signed contract, forward a copy of the project Quote to your Account Executive, Production Manager and Billing Department. The Quote must include a brief description of the entire scope of the project (name of pages, forms, e-commerce elements [storefront, payment methods], and custom programming requirements [custom admin]), etc.

2.)The Salesman will enter the newcompany and contacts into Workamajig Project Management.

3.)The Salesman will collect initial payment and forward to Accounts Receivable (Billing) to record the transaction.

4.)The Salesman will schedule a Creative Meeting with, at minimum, the Salesman, Client and Account Executive attending.

5.)The Salesman will complete the project Creative Brief and Spec Sheet and forward to the Account Executive and Production Manager. It is the responsibility of the salesman to gather this crucial information for the Account Executive who will be assisting to manage the project.

  1. The Creative Brief and Spec Sheet can be completed between the salesperson and client on initial sales calls or during theCreative Meeting with the Account Executive in attendance.
  2. The Client must be formally introduced to the Account Executive who will be in charge of ensuring that the project elements (design direction, images, copy, callouts, forms, etc.) are clearly identified for production.

6.)The Account Executive will determine the essential requirements to begin production and ensure that they are in-house and available for production to begin.

7.)The Account Executive will forward the creative brief and essential design assets to the Production Manager for project scheduling.

8.)The ProductionManager will create a project in Workamajig and schedule the tasks for production and give the Account Executive and Salesman an estimated time for project initiation and completion.

9.)Production will provide to the Salesman and Account Executive comprehensive layouts (comps) for client approval and/or modification.

  1. After two modification rounds, production will need additional budget approval (minus 10% cost absorption) from the Salesman and Client before executing further comp modifications that are within the original project scope as outlined in the Quote.
  2. Any modification requests that are outside the initial project scope will need additional budget approval from the Salesman and Client before executing further comp modifications. Cost for out-of-scope comp modifications will be 100% billable to the Client.
  3. Any additional comp modifications (after two rounds) will materially affectthe project and the estimated completion date will be rescheduled accordingly.
