HOW TO USE THE WBCP REPORT FORM: GUIDE FOR TRIP REPORTERS

OPENING THE FILE

1. Open Excel > go to Tools > choose Macro > choose Security > set the security level to MEDIUM. This setting will enable you to open the Report Form file, which has macros.

2. Open the Excel file named WBCP Report Form 2008 (NEW). A security warning will come up and will ask you whether you want to enable macros or not. Choose ENABLE MACROS.

ENCODING:

As you will see from the tabs at the bottom of the page, the file has 4 sheets named: Trip Info, Birdlist, Sites and Birders. Upon opening, the file will open to the Trip Info sheet which is used to collect information about the trip report such as the SITE/LOCALITY, DATE and BIRDER name. Birdlist, Sites and Birders are in separate sheets. These will all be described more in detail below. Use the tabs to move from one sheet to the other.

I. TRIP INFO

You are required to fill in the fields marked with an * asterisk. While it is also important to fill in the other fields, they are not necessary for completing the form. If you fail to fill up the required fields, a macro will remind you to fill them in before the file can be saved.

To the right of Site/Locality is a button with 3 dots (...). This is a search button for all the sites that have already been visited by the Club. Please use this search button to input the site or locality name.

1. Click button. A pop-up box will appear.

2. Type keywords into the search box.

3. Choose your site from the drop-down list.

4. After choosing the correct site, Click OK.

e.g.

Typing "Quezon" will bring out all sites with the word "Quezon", including sites in Quezon City and Quezon Province. Choosing "University of the Philippines" from the list will automatically fill up the fields as shown below:

NOTE : If the drop-down list function does not work for you because you are using a different operating system or for other reasons, click the Sites tab at the bottom of the page to bring up the SITES list. Copy the name of your site from the list and paste it on the TRIP INFO sheet. It is recommended that you copy and paste because the system is case- (and error-) sensitive: one wrong letter or incorrect space inputted and the system will not recognize your inputs.

5. If your site is not found on the list, type the Site/Locality info including Barangay, City, Province, and Island in the corresponding boxes.

Be sure to choose your sites or fill in all the boxes in accordance with the instructions given in the additional notes below.

Additional notes:

The SITES sheet lists in alphabetical order the sites or localities that have been visited and reported on by the Club and other reporters. These are the same sites that are found in the drop-down list of the TRIP INFO sheet. New sites are added manually to the master list and they appear on the next updated version of the Report Form.

Filling in SITES names:

The name of the site generally follows the format: Birding site name, Barangay, City (or Municipality), Province.

e.g.

"University of the Philippines, Diliman, Quezon City"

or

"Mt. Makiling, Los Baños, Laguna"

For subsites visited frequently, a site qualifier is added at the end of the name and the subsite is considered a separate site on its own.

e.g.

"University of the Philippines, Diliman, Quezon City - Botany Laboratory"

"University of the Philippines, Diliman, Quezon City - Hardin ng Rosas"

or

"Mt. Makiling, Los Baños, Laguna - Botanic Gardens"

"Mt. Makiling, Los Baños, Laguna - Forest Trail"

If the birder did not go to the site specified in the site qualifier and wants to report on the site as a whole, the general site is used.

e.g.

"University of the Philippines, Diliman, Quezon City"

or

"Mt. Makiling, Los Baños, Laguna"

1. Fill in the Start Date field. This field is required.

You may use any format, provided you use words (or their abbreviations) for the month: Jan 5, 2008 5-Jan-08 5 January 2008. (The instruction on the month is important because if you type in 01/05/08 for a trip done on January 5, the form will automatically convert it to 1 May 2008 when you go on to the next field). Make sure you specify the year when you birded: this becomes especially important when you are reporting in 2008 on a birding trip you carried out in 2007, for example.

2. Fill in the End Date field for trips that last more than one day with only one bird list.

e.g. A trip to University of the Philippines from Jan 1 to Jan 2 2008 would look like this:

3. Type the starting time of birding in the Start Date field. Use the format 00:00 AM or PM.

Note that if you type "7 am" (with a space in between 7 and am), the report form will automatically convert it to "7:00 AM". It is suggested that you check this conversion, as depending on what you typed in, the converted starting time may not be what you want.

4. Type Time in Field. Time in field is the number of hours spent birding for the trip being reported.

e.g. A trip done on January 1, 2008, starting at 7 AM and ending at 9 AM would be reported like this:

1. Type the Name of Birder (REPORTER):

This is required information. A list of the names of the birders (and their initials) who have already reported in the past is in the Birders sheet (Click Birder tab to access it). If your name is on this list, please enter your name as it appears on the list. Birders' names (like site names) are case- (and error-) sensitive and it will help the Records Committee if a uniform format is used.

Sometimes the nickname of the birder and not the full name has been recorded on the list. "Mike Lu", for example, is used instead of "Michael Lu". In these cases, too, please use the name form that appears on the list: in the example given, "Mike Lu" would be the correct entry. If you wish your name to appear differently on the list, please let the Records Committee know and the change will be reflected in an updated version of the report form.

If you are reporting for the first time, please type in your full name, capitalizing the first letters of your name and surname. Do not use your nickname.

Type only one name in this field, usually the name of the person reporting on the trip. This reporter is generally the one acknowledged in Club reports.

You will note that everyone on the Birders list is given initials, usually the first letters of their names and surnames; where similar initials would occur, the second letter of the family name is also used to distinguish one birder from another.

2. Other Birders Present:

When other persons in addition to the reporter go on a trip, their names are acknowledged under Other Birders Present. You may opt not to include the names of all birders present, but a complete list is recommended.

1. Type in the environmental conditions during the trip - i.e. conditions that may have affected birding or the number of birds seen (low tide or high tide; sunny; windy, rainy, etc).

2. In the Trip Notes field, enter any important information regarding the trip or site visited - e.g. Club monthly guided trip, Asian Waterbird Census, formal survey, site habitat type, elevation visited, etc.

3. Leave the Reference no. field blank. This is the message number automatically assigned to the trip report when it appears on the Birdwatch website. It is entered into the Report Form by members of the Records Committee when encoding takes place.

II. BIRDLIST

1. Click the Birdlist tab to open the Bird List. In this sheet, you will find the list of all the species of birds included in the official WBCP list. You will also find Common Name column, Latin Name column where the common name of each species and its corresponding Latin Name are located . You will also find count column and notes column.

2. The count column is for entering the number of birds per species reported.

If the birds were not counted when seen, enter "x" in the COUNT column to denote the presence of a particular species.

For birds counted but not precisely, the lower/minimum number is inputted. For example: Eurasian Tree Sparrow 15, instead of 15 - 20. For counts of 10+ or 5+, omit the "+".

3. The notes column is for important observations on the bird. Please do not enter notes like "seen flying", or "common", "many". Good entries would include the sex of the bird (m, f), plumage notes or breeding information.

Please use the following abbreviations:

ad = adult, f = female, imm = immature or sub-adult, ho = heard only, juv = juvenile, m = male, masl = meters above sea level, sp = species, x = species present but numbers not noted

4. There is only one way of encoding the following birds:

Flameback: Common Flameback in Palawan; Greater Flameback everywhere else.
Lovely/Handsome Sunbird : Lovely Sunbird in Palawan; Handsome Sunbird everywhere else.
Nuthatch: Velvet-fronted in Palawan; Sulphur-billed everywhere else.
Fairy Bluebird: Asian Fairy Bluebird in Palawan; Philippine Fairy Bluebird everywhere else.

MAKE BIRDLIST

4. Press the MAKE BIRDLIST button to generate a taxonomically ordered and automatically numbered bird list in NotePad. The bird list is automatically given a file name; save the file to the folder of your choice.

This eliminates the sweat of putting together a bird list for trip reports. Trip reporters should simply copy the generated list and paste it onto their description of their trips. If the reporter does not wish to write a narrative, the bird list can be copied and pasted directly onto an email (see below) to the Birdwatch egroup.

Finally, the Excel file should be SAVED into the folder of your choice. Give it a file name in the following format: Date-Site-Birder. A trip done on November 5, 2006 at the Tambo Mudflats by Mike Lu should be saved as 061105-Tambo-ML. Note that the date is given in the following order: year (2 digits), month (2 digits) and date (2 digits).

(Sometimes when you want to close the Excel file, the computer will ask you for a password. Typing in tyger will do the trick.)

Send your generated bird list, together with your narrative or comments, to the Birdwatch egroup . The generated bird list will be reviewed by the Records Committee (usually by member Desmond Allen) before it appears on Birdwatch, so there might be a time gap between the date of your posting and the date of its appearance on the Web. To facilitate the work of the Records Committee, please send your Excel file to Mark Villa, our database lord and master, at , who will eventually enter your records into the WBCP database.
