How to Create a BMI Project Request

Procedure

At the end of this module, the Project Requester will be able to:

1. Create and submit an IS Capital Project Request

1. / You will need to login to the PeopleSoft application to access the Project Request link.
Click in the User ID field.

2. / Enter your Network ID information into the User ID field.
3. / Click in the Password field.

4. / Enter your Network Password into the Password field.

6. / NOTE: In order to view previously created project requests, create a query by populating the Project Business Unit and Project Request ID fields and selecting Search. For more on this access the "How to Search for Previously Created Project Request" training module.
Click the Add a New Project Request tab to initiate a new project request.

7. / NOTE: The project business unit for all IS Capital Projects is 13. This field will automatically populate.

You will need to enter the Description of the project. The maximum characters allowed for this field is 30. Longer descriptions can be placed in the Notes field of the Cost and Benefits section.

10. / You will need to enter the name of the Requester (person responsible for initiating the Project Request).
Click the Look up button to begin searching for the Requester's name.

14. / Enter the first few characters of the requeseter’s last name into the Requester field.

Select the requester’s name from the provided list.
17. / You will now select the Investment Type for the project request.
Click the Investment Type list.

/ INVESTMENT TYPE:
BUSINESS: Finance, Personnel, Donor Management, Library Management
CLINICAL: Applications/Systems supporting clinical & patient care areas such as Pharmacy, Hematology/Oncology etc.
INFRASTRUCTURE: Networks, Security Management, Facilities Management
RESEARCH: Applications or resources that will directly support research activities or initiatives.

19. / You will now select the Priority for the project request.
Click the Priority list.

20. / You will now enter the Estimated Start date (calendar year) of the project.
Click in the Estimated Start field.

21. / Enter the desired information into the Estimated Start field.
22. / You will now enter the Estimated End date (calendar year) of the project.
Click in the Estimated End field.

24. / You will now enter the Sponsor for the Project Request.
IMPORTANT NOTE: Refer to CCHMC's definition of a Sponsor below.
Click the Look up Sponsor ID button to search for the sponsor's name.

/ Sponsors are typically high-level proponents of projects; among the duties of the sponsor are providing the leadership to gain approval and funding, provide official backing of the project, promoting support among stakeholders, encouraging recognition and assure that the project is in line with the Cincinnati Children's strategic goals

This information would be the first few characters of the requester’s last name

Select the requester’s name from the provided list.
31. / Select the Initiative Type IDby clicking on the Intiative Type list. Select BMI for BMI-supported projects, or ITCAPITAL for projects requiring IS support.
32. / The Cost and Benefits section will be automatically updated once additional tabs are completed. You do have the option of adding comments to the Notes area.
You have completed the Project Request tab.
Click the Save button.

/ After completing each tab within your project request, be sure to save your entries.

Major project objectives, which provide a foundation for the high-level requirements listed below. Example: [Sponsoring department] seeks to enhance the ICIS (Integrating Clinical Information System) system patient safety features and improve ICIS efficiency. A supporting objective is to demonstrate the safety benefits of ICIS, as seen in other clinical areas.
All projects should support CCHMC and tie to company strategic goals. The objectives should be SMART:
•Specific
•Measurable
•Attainable
•Results – Oriented
•Time-specific
The purpose is a statement of “Why” the project exists. It describes the unique value the project will bring to the clients and customers, i.e., to define, recommend, deploy, develop, manage, modify, or enhance a process or system. Example: Embedded in the new strategic plan is the need for the Medical Center to pursue a core clinical & hospital information system commonly referred to as ICIS. An ICIS solution will provide computer-based patient records, eliminate paperwork redundancies, improve patient interactions and result in improved health care by reducing the possibility of mistakes.

Tangible benefit. Describe the tangible benefits to CCHMC. These are concrete, real, quantitative measures, e.g., cycle times reduced by 15%, inventory reduced by 10%, saving $2 million over 5 years after installation. Some key words to use are: cost reduction, reduce, eliminate, higher rate of, repeat business, and revenue increase.
Intangible benefit. Describe the intangible benefits to CCHMC. Intangible benefits are often difficult to measure, e.g., improved satisfaction, competitive positioning, good will, and strategic initiative. Some key words to use are: longer, shorter, faster, more, less, better, automatic, enhanced, and streamlined.

Click the Save button. No other fields are required for the BMI project requests.

39. / You are now ready to submit the project request to the PMO for review.
Click the Submit button to proceed.

41. / You will be contacted by the PMO after they have reviewed the project request.
IMPORTANT NOTE: Each saved project request is assigned a Project Request ID. This ID can be used when performing a search for the project request the next time you access the Project Management application (see the top of the Project Request page).
