How to Collect Donations and Send to OM – SportsLink

Individual Donors – not Corporate or Business Sponsors

  1. Give each participant or volunteer several Donation Forms.
  2. Instruct each participant or volunteer to ask friends, family, church members, and others in the community that they know to ask for donations and record the donor’s information on the Donation Form. Use one Donation Form per donor. This is important to keep records of donors; especially, in countries where the law requires it for tax-deductible donations.
  3. Instruct each participant or volunteer that is asking for and collecting donations to turn in the donations with the completed Donation Forms. They should turn in donations soon after the race is completed, but no later than June 15th, 2009. This will give you time to prepare all the donations to send to OM-SportsLink.
  4. As you collect the donations and Donation Forms, transfer the information from the Donation Forms onto a Donation Ledger. You will turn in (send) this Donation Ledger along with the donations to OM-SportsLink. This is important to keep records of donors; especially, in countries where the law requires it for tax-deductible donations. We have you turn in a Donation Ledger to OM-SportsLink instead of all the individual Donation Forms to help with sending it to OM-SportsLInk.
  5. Please be careful to transfer all information from the Donation Forms to the Donation Ledger. Pay particular attention to the gift amounts entered on the Donation Ledger that they match and are accurate.
  6. Count all the checks and cash and verify that the total amount equals the total amount on the completed Donation Ledger.
  7. If you have an approval from OM SportsLink you may be able to set aside some of the donations to give to your local charity or we will collect all donations and grant money back directly to the local charity. Please let us know who that charity is and the total funds that you raised from your local R4TW event. It is important to comply with tax laws in each country, so we need to know this information before any promises are made to the local charity and amounts to be given. If approved, they can expect to receive about 20-25 percent of the net proceeds.
  8. Most donations you collect will be given either by cash, or by a check made payable to OM (Operation Mobilisation) or by a check made payable to the name of the organization you use at the local level if you do not have an OM office in your country.
  9. Choose the best way to collect and send donations to OM-SportsLink. Some suggestions:

a.Send in all the checks made payable to OMand include one additional check made payable to OM in place of the cash collected.

b.Collect only cash donations and not check donations. Send in one check made payable to OM in place of the cash collected.

c.Collect all donations making checks payable to your local church or organization, then you can send one check made payable to OMfor all the cash and checks collected.

  1. You can send donations to OM-Sportslink by selecting one of the methods explained below:

a.Send to the nearest OM office in your country. You can personally hand carry the donations to the office and turn in checks and cash along with the Donation Ledger. You can mail check(s) (not cash) along with the Donation Ledger to the nearest OM office.

b.Send money via a wire transfer like Western Union or other Bank transfer. Please contact the SportsLink committee for R4TW if you choose this option. We will give you specific instructions for this type of transaction.

  1. Be sure to include and send in the Donation Ledger with your collected donations. This Donation Ledger will provide us with the information we need to send tax deductable receipts to those donors who need them for their country tax laws.

Corporate or Business Sponsors

1.The purpose of corporate or business sponsorship is to offset the costs and expenses of the event: signs, banners, printing, postage, prizes, refreshments, etc. The goal is to keep expenses to less than 25 percent of the funds raised. For example, if the local event expects to raise 500 USD/GBP/Euros or local currency, then the cost of the local event should be less than 125. This allows as much as possible for the donations to go to the international and local charities selected for 2009.

2.A corporate sponsorship is not a donation unless given without any services or products in return to the corporation. A corporate sponsorship is an agreement or contract between the local event organizer (who is representing OM-SportsLink) and the corporation or business. They give money in exchange for advertising: logos on printed event material, logos on T-shirts, logos on the R4TW website, etc.

3.Use the Corporate Sponsor Form to solicit and receive contributions from local business.

4.Make sure that they completely fill out the form and try to collect the money when they sign up on the form. Having the money up front helps you to purchase materials and pay for expenses that are necessary to conduct the R4TW event.

5.Most donations you collect will be given either by cash, or by a check made payable to OM or by a check made payable to the name of the organization or church you use at the local level if the name OM-SportsLink will cause security problems. Ask for cash to make things simple. Provide a receipt to the Sponsor (a copy of the Corporate Sponsor Form should suffice).

6.It may be best to have any Corporate Sponsorship checks be made payable to the name of the organization or church you use at the local level. This will allow you to cash the check and use the money immediately.

7.If they want to make the check made payable to OM then you will need to send the check and completed Corporate Sponsor form to your local OM office. This will delay you being able to use the money immediately, but OM-SportsLink can reimburse you for expenses. This may take up to 2-3 months.
