JOB TITLE:Receptionist
ACCOUNTABLE TO:School Principal
SALARY:Kent Range 3
HOURS:37 hours per week
JOB PURPOSETo provide a professional ‘front of house’ service to visitors, staff and students in person and by telephone.
KEY TASKS
- To greet all visitors to the school, deal with all initial enquiries and follow security procedures (ie visitors badges etc).
- To operate school switchboard, answer all initial enquiries and take and pass on messages.
- To open and sort post and then distribute to the appropriate departments.
- Typing of documents to include letters, reports and minutes.
- Responsible for filing of information on pupil records and maintaining files in good order having regard to confidentiality and data protection.
- To assist with maintaining data on the School Information Management System when necessary (training will be given).
- To record and process student awards and all student passes and behaviour log cards.
- Data entry and maintenance of data on the School Information Management System (training will be given).
- Franking and posting of letters; taking parcels to post office when necessary.
- Assist with photocopying, laminating and general reprographics.
- To assist with the casual admission enquiries.
- To assist with the administration for Exclusions.
- General office duties as and when required and cover for Administration Assistants as and when needed.
- Day to day dealing with pupils to include minor first aid and issuing of medication.
- Check and process emails from the account.
- Responsibility for weekly bulletin and “Good News” book.
- Any other reasonable duties as and when required.
ESSENTIAL REQUIREMENTS
- The ability to deal with public enquiries in a professional manner and to respect confidential information relating to staff, pupils and families
- A calm manner to deal with all situations
- An excellent telephone manner
- Excellent typing skills with a good working knowledge of Word for Windows.
- The ability to work with colleagues as part of a team, to be flexible, adaptable and to multi-task
- Good level of general education at Level 2 qualification or above
- Awareness of data protection
- First aid qualification or a willingness to undertake training
- A good sense of humour
