Operating Procedures and Guidelines

Objective: It is the expressed desire of Holy Redeemer Catholic Church to share the use of its facilities or grounds. Furthermore, we would like to maintain a fair and reasonable cost recovery schedule for use of the property.

SCHEDULING

1)  Holy Redeemer wishes to share the use of its facilities to support the community wherever possible but must establish at the outset that its own ministry obligations and responsibilities (i.e. service commitments) take primary scheduling position to that of any requesting entity.

2)  In order to best accommodate the needs of each individual requester, Holy Redeemer must ask that each party seeking to use its facilities submit Appendix B (Application Form) at least 4 full weeks prior to the scheduled event to our parish office.

DEPOSITS/CHARGES/FEES

  1. Please refer to the enclosed chart, Appendix A (Deposit/Fee Schedule), regarding the specific costs (deposits, charges, or fees) applicable to a requested event. Unless specified otherwise, the charges cover a period of up to eight hours per day.
  2. Applicable deposits are required upon submission of the event form. These deposits are refundable in the event of cancellation, if notice is made 14 days prior to the reserved date and if no expense is incurred by the church. The balance due (costs or fees) must be submitted 7 days prior to the event or the use of the facilities.
  3. Refundable deposits will be returned within 10 business days following the event except where actual or reasonable reductions are incurred for the replacement/repair of any loss or damage (above and beyond normal wear and tear).
  4. Checks or money orders submitted for payment of deposits (in advance) or for charges or fees incurred (post-event) must be made payable to Holy Redeemer Catholic Church.
  5. For events that will end after 10pm, the party responsible using the social hall will need to stop by to pick the key from the parish office. This key needs to be returned the Monday immediately following the weekend event. (Appendix C item)

BEHAVIOR ON GROUNDS

1.  The applicant agrees by submission of the application that all attendees to the event will conduct themselves in a manner befitting non-disruptive, non-destructive civility and such as to demonstrate respect for the sacred church grounds.

2.  Children under 14 years of age MUST, at all times, be under the direct supervision of their parent(s) or responsible adult (21 years of age or older). This applies to all premises, both indoors and outdoors. Parent(s), legal guardian or applicant bear full responsibility for their children’s behavior and safety.

3.  No persons under the age of 21 may consume alcohol on the premises.

4.  Alcoholic beverages of less than 20% alcohol content (e.g. beer, wine and champagne) may be served to adult guests. Beverages, alcoholic and non-alcoholic alike, will be consumed ONLY within the Social Hall. ** The user must agree at the time of application, that any guest, in the opinion of a representative of Holy Redeemer is under the influence by way of their alcoholic consumption that they will be prevented from any further consumption. If such person refuses to cooperate, users agree to arrange transportation off the premises in a prompt and safe manner. Furthermore, any person exhibiting alcoholic impaired faculties will be brought to the attention of the user who directs their safe exit from the premises.

5.  Smoking is not permitted inside the social hall. Cigarette butts must be discarded in designated receptacles located outside each facility.

6.  The kitchen is available for warming up food. This does not include food, staples or consumables currently on hand for Parish use.

7.  Publicity or advertising for any user function scheduled at Holy Redeemer, whether through any media other than word of mouth or standard and normal invitations (analogous to a wedding invitation), must be approved by the Pastor. Not complying with this request may result in cancellation of the usage agreement by the church and forfeiture of all deposits.

POST EVENT CLEANUP

1.  Cleanup of the premises and contents used both indoors and outdoors, to the original condition are the RESPONSIBILITY OF THE USER. Replacement or repairs of the damaged facilities at current costs will be deducted from all deposits. Costs that exceed said deposit will be billed to the user. CLEANUP shall include sweeping of the floor, walkways, returning tables and chairs to its original place. Rooms used for dressing or any other reason, will be cleaned and returned to their original condition. All refuse, indoors and outdoors, must be deposited in the dumpster next to the Youth Center. Cleanup is expected to be undertaken directly following the function unless other arrangements were made in advance.

2.  For kitchen cleanup, please refer to Appendix C (Kitchen Cleaning Check List).

3.  The grounds outside the facility(s) utilized during the event must be cleaned too – trash picked up.

APPENDIX A

Holy Redeemer Catholic Church Facility Use Fee Schedule

Parish Hall Capacity – 350 people

8 hour block ($100 each extra hour) – This includes the time necessary for set-up. All events must be completed by 10pm.

Liability Insurance Fee – $100 – Until midnight

$120 – After midnight

Deposit - $350.00 (Includes the $150.00 cleaning deposit)

If the facility is in good condition and no cleanup by maintenance is required, the $150.00 cleaning deposit will be refunded.

Suggested minimum donation - $400.00 - This is in addition to the $350.00 deposit.

APPENDIX C

HOLY REDEEMER CATHOLIC CHURCH CLEANUP PROCEDURES

______Countertops Wipe off all countertops with a sponge

cloth with any brand of kitchen cleaner.

Then dry wipe with a paper towel.

______Sinks Use the small sink next to the ice machine

for hand washing ONLY. The two position

sink is for all normal food preparation or

kitchen cleaning. Remove all food particles

from each sink and empty into garbage

containers and then each sink is to be

cleaned with a soft scrub cleanser or

Comet. Dish towels used are to be taken,

laundered and returned.

______Recycle bins Place all recyclables in its corresponding

bin, e.g. paper, cans, plastic and glass.

______Trash Cans Remove full/partially filled bags from the

trash cans, tie then close & throw the bags

in the dumpster located next to the Youth

Center. Then replace the liner with proper sized bag.

______Floors Wipe up spills as they occur. Sweep the

entire floor at the end of an event & then

mop with PLAIN WATER ONLY. Return mop

bucket & mop to the men’s room. Please

do not place the mop against the wall to

dry. Leave nothing on the floor (empty container, card board boxes, cutting boards, dry goods, etc).

______Coffee Maker All carafes are to be rinsed out and placed

next to the coffee maker after use. Empty

the filter holder and rinse. Turn off all

burners and the unit itself before wiping it

down.

______Ice Maker Use only the scoop that is in the holder.

______Microwaves Remove any food particles and wipe it out,

inside and out.

______Refrigerator Dispose of all unused food, do not leave

anything in the refrigerator unless it has

been prearranged. If food is left in the unit,

please mark the package with its date and

contents. Wipe down all spills inside the

unit and out.

______Freezer SAME AS ABOVE.

______Stove Turn on hood fan every time the stove, grill

and/or oven is used. Turn it off when

finished. An extreme spill must be cleaned

from tray below the burners. Oven doors

must be wiped down both inside and out

along with any spills inside the oven itself.

______Air Conditioning Please turn all thermostats back to 80F.

______Electricity Turn off all lights in the facility, including

the restrooms.

______Security Insure all windows and doors are locked.
