Meeting Minutes

1. 6:26pm - Call to Order

2. Regular Business

Present: DeLaRosa, Dreyer, Elsess, Gutierrez, Heneghan, Ky, Martinez, Ramirez-Matias

Excused: Rivera Prince

City Staff: Kim Meyer, Nancy DeBoer

• Approval of minutes – DeLaRosa moved; Ky seconded; motion passed.

4. Subcommittee & Member Reports

Social Services Committee

·  Social Services continues to update their social media to spread awareness of Pending Coffees. They want to make a press release. Scott Klingberg says there are currently 60 cards in circulation.

·  Steve Zwiep will be invited to a meeting to get more information about the placement of recycling bins. A grant will be requested to purchase recycling bins.

Recreation Committee

·  Planning an all HYAC event in February. Surveys were sent out and results were gathered; laser tag received the most votes. Other surveys will be sent out to choose a date and time.

·  Took control of the upcoming alumni event. A date was set for June 25th. The event is a potluck and will most likely take place at Kollen Park. Oral history videos will be recorded to capture the best alumni memories and to see how HYAC has helped people.

Special Events Committee

·  A name for the energy event was decided “Energy Wars; Join the Darkside.” The event will run from January 11th - March 31st. Announcements will begin on November 30th. Schools interested so far are Holland High, West Ottawa, Black River, and Holland Christian. Winners will be announced sometime in April and there will be prizes given for categories. First place school will receive a trophy that will be passed on if the contest continues over the next few years. Please spread the word on Instagram and Twitter.

Police/Community Relations (Jazmin, Mason & Regan)

·  PCR includes students, police, and community leaders who give updates on activity seen in the community. Police give updates to students so that they can see all that goes on behind the scenes in Holland. They aim to connect with community and not be seen as a “scary” force and also to let citizens see how well protected we are; even if this is unknown. The police do many things that we are unaware of; this includes crime, fires, and community action such as raising money. The PCR does very well at connecting with the community.

5. Continuing Business

HRC Social Justice award-

·  The candidates (Beal, Zuidema, Contreras, and Brown) were discussed thoroughly. A motion was made by Heneghan and seconded by DeLaRosa. After being discussed the motion failed and another motion was made to nominate Kyler Beal; moved by DelaRosa and seconded by Gutierrez. The motion passed after discussion. Kyler Beal will be the HRC Social Justice Award recipient for 2016.

HYAC Promo ideas -

·  West Ottawa showcase, HHS conferences, Multicultural Festival, school lunch hours, school news were decided to have booths to spread awareness. A motion was also made to purchase HYAC promotional pencils.

HYAC Alumni Event

·  The event was taken over by the Recreation committee. The date was set for June 25th originally, but has been moved earlier in the month to avoid conflict with the Fourth of July. Recreation is continuing with many ideas developed by core, such as the memory videos for alumni. This video may be used for a future promo.

6. New Business

·  Christmas Potluck: A form will be sent out to sign up for a dish.

·  Coffee with Council - Jan. 16, 9am - 11:30am; Discussion of adding “Hot Chocolate with HYAC” to inform people of HYAC. A motion was made by Ramirez and seconded by Gutierrez. A motion for the name was moved by Henegan and seconded by DeLaRosa. Both motions passed.

7. Communication from Staff/Others:

·  Leadership as a Lifestyle- Saturday, November 14, at Herrick Library (9am-3pm).

8. Public Comment

·  None at this time.

9. Next Meeting:

·  Thursday, December 10; 5:00pm Christmas potluck dinner, 6:30pm meeting.

·  Ky moved to adjourn, Heneghan seconded; motion passed.
