Hill & Plain PTO Meeting Minutes

April 17, 2014 (1:30-3:00)

Meeting was called to order at 1:30

Principals Report: Principal Dr. Anne Stuhlman was present. Topics discussed:

·  Questions about the Third Grade Send-Off Party, which revolved around rain date? This party is an all indoor event...no rain date needed.

·  14 children involved in Invention Convention. May need more PTO help next year for this activity.

·  Long list of ongoing events till the end of the year.

Teachers Report: There were representatives from each grade level that popped into the meeting.

Mrs. Singer (3rd grade) Assured PTO that this year an email about a Third Grade Class picture would be sent home prior to the scheduled day to ensure everyone who wants to be included will be aware of the date. They are also still planning some in-house or local field trips, as buses can be so expensive.

GRANT: for $495 payable to Carol Glynn for an in-house presentation on CT Legends, scheduled May 5th APPROVED.

Mrs. Kulgren (2nd grade) A big thank you for past field trips this year, possibility of combining a Pratt Center visit with May's Science Cart lesson, will be requesting money for buses for their last field trip.

GRANT: for $975 payable to The Pratt Center for an in-house presentation on Soil and Planting, scheduled on April 10-11 and May 8-9. and Maple Syrup presentation on May 6-7 APPROVED

Mrs. Gray (1st grade) Thank you from all the first graders for the Henry and Mudge field trip last month. Mrs. Gray will be writing a grant for a third bus on the May field trip.

Mrs. Nyhan (Kindergarten) Thank you for the Book fair treats and the funding for the Beardsley Zoo trip next month.

GRANT: for $1,664 for a trip to the Beardsley Zoo scheduled for May 27. APPROVED

Treasurer's Report:.

·  $3,900 under projection

·  Ending balance $1,700

·  One of our PTO mom's (Melissa Martins) who is a Mary Kay Director offered a fundraiser that would be 100% profit. More details to come.

Secretaries Minutes: Passed for the month of March

New Business:

Spring Book Fair : Mexican Fiesta

·  Thank you Eileen and Lisa for a job well done!!!

·  Profit of $8,515.74

·  Scholastic Dollars in our bank $7,053.68

·  Eileen will email all teacher heads to ensure there isn't a need we haven't' met yet with our Scholastic dollars. A new outdoor sign will be purchased with these dollars as well.

·  We will take $2,128.90 in cash towards are budget

·  Motion passed for a "Table Top Book Fair" at the end of the year assembly. This will be an outdoor, 2 hour fundraiser.

·  Bingo Night (which was the opening night of the Book Fair) made $330 in profit. *Note for next time: have items like pizza or hot dogs as a dinner option.

Read-A-Thon (RAT)

·  Thank you Kim and Jessica for a job well done!!

·  Net profit $3,577.60

·  Spent $1,204 in teacher scholastic certificates. Each teacher received $43.00 to use at scholastic as a "Thank you" for participating and supporting the Read-A-Thon

·  Less pledges turned in over all

·  Consider making a prize certificate to the Book Fair for $5.00 for next year.

Science Cart: First grade is this week (Parts of a Seed) Volunteers needed.

Science Fair: Thursday, April 24 5:30-7:30 at Sarah Noble Intermediate School. Help is needed setting up tables etc. See Becky Passero if you are available

Spring Break Hill and Plain Garden Clearing: Tuesday, April 16. time TBA

Literature Week:

·  GRANT for Trisha Mulfitana for $200.00. APPROVED

·  An email will be sent out to make parents aware that this author travels with her dog (Kiefer) and the dog is a part of her presentation, but the children will not be coming into contact with this adorable side-kick.

·  Hospitality will be providing lunch for the authors and illustrators Tuesday, May 27, Wednesday, May 28, and Thursday, May 29.

·  GRANT for $60 for Literature Week Bookmarker production APPROVED

Third Grade Party Send-Off: The third grade teachers have requested a repeat of last year's event. Jen will book Bubble-Mania, Eileen will look into purchasing Hill and Plain pens, and Heather will take the Class Picture. This is an inside event, so there is no rain date scheduled.

Cultural Arts:

·  Back by popular demand...Kyle Dine will be returning in the 14-15 school year.

·  GRANT for $590 APPROVED

High School Scholarships:

·  For the past few years our PTO has given $1,000 to The New Milford Scholarship program.

·  Discussion revolved around the amount we would donate this year as our numbers are not quite as high as past years.

·  VOTE PASSED for donating $1,000 but there were 2 abstentions.
