JOB TITLE:Receptionist and Data Inputter

RESPONSIBLE TO:Line Manager

JOB PURPOSE:

To provide wide-ranging administrative support within a busy office environment in a customer facing role which combines reception and data inputting roles.

MAIN RESPONSIBILITIES:

  • SupportQuality Management System (QMS)by seeking to continuously improve the service.
  • Support the Environmental Management System (EMS), in order to take steps to improve the organisation’s carbon footprint.
  • Providing administrative support to the Starfish team
  • Provision of a professional telephone answering service
  • Accurate and efficient input of data into the system.
  • Maintaining and updating filing systems
  • Arranging appointments and meetings
  • Organising diaries
  • Organising events, courses and staff training including hotel and travel arrangements
  • Providing administrative support at meetings
  • Providing monthly and quarterly monitoring information
  • Supporting the Finance Officer in their duties
  • Setting up and maintaining databases (using Microsoft Access and Excel)
  • Producing publicity material using Publisher (Desktop Publishing) and Word
  • General reception duties
  • Being first point of contact for clients and professionals
  • Processing incoming and outgoing post
  • Providing regular monitoring information including the implementation of a tracking system
  • Ordering stationery
  • Providing cover for colleagues on annual and sick leave
  • Inputting data for projects
  • Liaising with external organisations regarding projects
  • Any other duties required by this post
  • Maintaining and updating filing systems.

  • Being first point of contact for clients and professionals.
  • Processing incoming and outgoing post.

The ideal candidate will be a flexible competent administrator, highly numerate, with excellent administrative and organizational skills. Must be able to work on own initiative without close supervision, to tight and exacting guidelines.

Key Requirements

  • Excellent literacy and numeracy.
  • Level 2 Business Administration or Equivalent Qualification & Experience
  • Knowledge and experience with reporting packages and databases.
  • Good attention to detail.
  • Excellent telephone manner
  • Able to input data accurately and efficiently
  • Good administrative and organizational skills.
  • Able to adhere to Confidentiality and aware and able to demonstrate Information Governance responsibilities.
  • Adept at queries, report writing and presenting findings.
