1.0Call to order

The Gwaii Trust Arts Committee chairpersoncalled the meeting to order at 6:10 pm.

2.0 Adoption of Agenda

The Gwaii Trust Arts Committee made a motion to adopt the agenda with one addition:

a)Online Doodle Poll Voting

3.0 Message from Chair

The Gwaii Trust Arts Committee chairperson Cynthia Samuels welcomed everyone to the meeting.

4.0“IN CAMERA” Arts Allocation Discussion
(This section of the meeting is carried out “In Camera” as per Gwaii Trust guidelines)

The arts committee approved one workshop application via telephone conference.

Organization: Living Learning and Learning School

Name of Project: Arts & Nature Summer Camp

Amount approved: $1,000.00

Conditions: The Gwaii Trust Society has agreed to fund this very worthwhile project with the following conditions;

5.0Artist in Residence Discussion

The Gwaii Trust Arts Committee scheduled another meeting to discuss further and develop a draft to present to the regular board at their strategic planning session in September. Sandra Price will arrange to set up a meeting for the end of July, she will email the details once confirmed.

6.0Public Events Volunteers

The Gwaii Trust Arts Committee discussed the upcoming two events; Sandra Price will be collating the presentation. Music Festival Aug 7 to 9 2015, the theme will be to conduct a survey Artist in Residency and for the Tlell Fall Fair Aug 2 the theme will be past recipients.

7.0Gwaii Trust Program Updates

The Executive Director explained the amended Gwaii Trust program deadline dates and yearly scheduled board meetings. The process will include a longer lead time for proposal review by staff and applicant to make sure that only complete applications will be submitted to the committee for review.

New deadline date: Cut off for arts applications will be the last Friday of every month and the arts committee will meet two weeks later on the 15th every month and then the recommendation will be forwarded to the regular board for final approval.

8.0 Online Voting Doodle Poll

The Gwaii Trust Arts Committee reviewed the online doodle poll voting process and made a motion to approve the doodle poll voting only to proceed with this process if there is no scheduled meeting,and to include the following questions; yes, I approve this application, no, I do not approve this application (if there is a “no” vote then the application is dead)

, or I require further discuss (schedule a telephone conference).
