Minutes of Executive Committee Meeting

Chartwell Guildwood, October 14, 2014

Present: Shelley Angus, Judy Baribeau, Andy Douglas, Audrea Douglas, James Gilchrist, Leslie Hetherington, Anne Marie Johnson, John Mason, Donna Milovanovic, TimoPuhakka, Jim Whitney, Kathleen Wolfe, Reg Wolfe

1.  Donna Milovanovic called the meeting to order at 7:33 p.m.

2.  M/S to adopt the Agenda as distributed. Carried.

3.  Guests:

3.1  Antonette Di Novo attended the meeting representing Paul Ainslie. She reported that the city started Guild remediation work a month ago. When the remediation is complete, the site will be turned over to Dynamic. Historic pieces are being kept. The carport is also being brought back. The work is all on schedule. The final site plan is expected to be complete in December. The Friends group has requested another community meeting following the election. Antonette will ask that an interactive meeting be set up to address the concerns.

3.2  The Planning Department will negotiate with Dynamic the placement of the second driveway.

3.3  The City will be planting more trees. About 1,500 have been planted to date and 60 more are planned. An area will be set aside for volunteer planting.

3.4  Some of the trees planted on South Marine have died and this will be reported to the City. The fence on South Marine was replaced. Residents will be informed where the new path will be placed.

3.5 A statue in the Guild Park was knocked over and damaged. It has been repaired and set up again.

3.6 Donna Milovanovic introduced Paula Henry who is considering taking on the position of GVCA Secretary

4. Approval of Minutes:
M/S to adopt the minutes of the September 9, 2014, minutes as distributed. Carried.

5.  Communications ‒ Highlights of Communications received:

5.1  Toronto Hydro indicated that Phase 2 work would be started in November. An Open House will be held October 23 for residents involved in Phase 2.

5.2  An All Candidates meeting will be held on October 21 at Centennial College.

5.3  We’ve received various emails regarding use of Garlon in Guild Park. We will take no further action.

5.4  An Urban Legacy Academy meeting will be held November 4-5. Anyone interested is to let Donna know.

5.5  The TRCA wants to schedule a stakeholder meeting. Dave Arnold will represent the GVCA.

5.6  Bennett Donahue forwarded information from John McKay’s office on upcoming events.

5.7  A meeting will be held October 21 related to Heritage Awards.

5.8  We’ve received notice that our insurance payment is due.

6. Treasurer’s Report
Jim Whitney reported that he has made a deposit for the advertising in the Fall issue of News & Views and has received the invoice from the printer for payment of the Fall issue of News & Views. We received our new banners for a cost of $339.

7.  Scarborough Community Renewal Campaign
Jim Whitney reported that the town hall meetings have been completed. Transit has been a key point in the discussions. The mayoral debate is up-coming. Renewal will be highlighted at the meeting. Hardy Stevens will be putting together their final report on this initiative, and it will be available in November.

8.  Community Investment Ideas
Jim Whitney distributed a summary of the suggestions received. The major theme is to restore the tree canopy in key areas within the village and to help the village retain its unique spirit and heritage. We need to discuss how much we are willing to spend and announce it at the AGM. Jim will email those who presented suggestions to see if they are willing to work on a committee to pursue a plan. Jim will be the liaison for the project.
M/S that Jim Whitney be designated to chair the Guildwood Community Investment Sub-Committee. Carried.
M/S that the GVCA Executive designate $5,000 of the money to offer two trees each to Guildwood Community Presbyterian Church and Church of the Holy Trinity as a start for renewing the tree canopy. Carried.

9.  News & Views:
Judy Baribeau reported that the Fall issue has been distributed to the coordinators for distribution to the delivery persons. To date no one has volunteered to take over the Advertising Coordinator position.

10.  CPLC Update:
Reg and Kathleen Wolfe attended the September meeting and distributed notes to the Executive by email. The information was also included in News & Views.

11.  Guild Sub-Committee ‒ Friends Group:
John Mason gave an update on the plans for the Halloween Haunt on October 26. Details are in News & Views. If the weather is bad, the event will be held at the Boys and Girls Club gym. He reported that over 100 people attended the walking tours in September. The Friends AGM was held in September and the three people with terms ending were re-elected for three-year terms.

12.  New Business:
Items to be included for the November meeting agenda are: Guildwood Day Barbecue; Membership Card redesign; set date for 2015 AGM; and 2015 Membership Drive ideas.

13.  Next Meeting: Tuesday, November 11, 2014.
