GUIDELINESON THE PAYMENT OF LICENCE,

MEMBERSHIP AND SUBSCRIPTION FEES TO PROFESSIONAL

AND INDUSTRY BODIES

1.With the exception of those circumstances set out below at Clause 2 of these Guidelines, the University considers expenses incurred by staff members for membership of professional bodies, licences and registration fees, to be personal expenses.

2.Where membership of a professional or industry body is a compulsory requirement of a staff member's employment, the University shall pay such licence, membership and subscription fees (eg: Security Licence held by members of the University's security staff).

3.In all circumstances, other than those set out at Clause 2 of these Guidelines, there is an expectation that staff members will hold such membership and qualifications appropriate to the requirements of their employment and area of expertise, and shall meet such costs incurred as a personal expense.

4.The University shall pay all professional and industry memberships and subscriptions held in its name.

5.The procedure for payment of licence, membership and subscription fees that are a compulsory requirement of a staff member's employment is as follows:

(i)the staff member is required to complete an“Application for Payment of Personal Professional Membership Fees / Subscriptions / Licences” and to submit it to the Division of Human Resources for approval. The form is available at the following URL;

(ii)applications approved by the Division of Human Resources are forwarded to the Finance Manager (Payables) in the Division of Financial Services for inclusion in a register. The Division of Financial Services will advise the staff member of the approval of his or her application;

(iii)applications not approved by the Division of Human Resources are returned to the staff member;

(iv)staff who have their application approved may then submit the tax invoice from the professional organisation to the Finance Manager (Payables) requesting the University to pay the invoice.
