Guide for Setting up Laptop and Projector

GUIDE FOR SETTING UP LAPTOP AND PROJECTOR

Generally.

The Acer laptops C & D are the latest laptops and older Dell laptops A & B can be quite slow loading up. All laptops are loaded with Windows 10 and the latest PowerPoint 2013 programme for showing slides. The PowerPoint 2013 programme will accept presentations prepared on any previous versions of PowerPoint. Picasa has also been loaded on all laptops for non PowerPoint presentations.

Laptops C & D are loaded with the CyberLink Power DVD programme for showing films and laptops A & B are loaded with the “VLC media player” programme.

All laptops have a mouse kept in their cases for those who find a mouse easier to use than the touchpad.

Crates A & C are stored in the cupboard in the corridor alongside the Long Kiln Room and crates B & D in the cabinet in the corridor next to the South West Kiln Room

Setting Up

Collect key of cupboard from reception and remove crate, projector stand, extension leads and safety mats and take to room allocated then return key to reception.

Place projector on projector stand and laptop on table in a position to suit speaker if he/she requires to view the presentation on the laptop screen. Where this is not a requirement position to best suit yourself not forgetting that if projector stand has additional shelf it may be more convenient to use this.

Connect extension lead in mains socket and place outlet socket box under projector stand. Depending on position of the projector and laptop in may be necessary to use two extension leads.

Cover leads with the mats for safety reasons.

Connect mains leads for projector and laptop to extension lead sockets.

Connect laptop to projector using an HDMI cable or if necessary due to the position of laptop and projector use a SCART cable.

Switch on mains.

Turn on laptop by pressing the start button at the top left of the keyboard on laptops C & D, be patient and when picture showing time and date appears press the “ESC” key top left on the keyboard and key in the Pin No. 1234 and the desktop screen will appear. With laptops A & B the start button is at the top centre of the keyboard and the desktop screen is brought up straight away.

PowerPoint presentation.

Bring up the start menu by pressing the “window” key third on the left bottom row of keyboard or click on the “window” icon left on the task bar at the bottom of the screen then click on the “PowerPoint” icon in top row of the start menu and the PowerPoint programme should load on the screen.

Alternatively click on the “PowerPoint” icon in middle of the task bar at the bottom of the screen to load the PowerPoint programme on the screen.

Insert speaker’s memory stick in a USB port of laptop furthest away for the speaker so that the remote control’s dongle can be inserted in the USB port nearest the speaker.

If list of files on memory stick does not appear on the screen click on “Open Other Presentations” in the menu on the left side of the screen and when new screen appears click on “Computer” then click on “Browse”. Scroll down list of folders on the left on the screen and click on “USB Drive (E)” and the list of files on the memory stick should now appear.

Double click on required file and PowerPoint presentation should appear.

Click on “Slide Show” in task bar at the top of the screen then the “From Beginning” icon and the first slide should appear covering the whole laptop screen. This is the default setting for a slide show. Check that the laptops are set up to show slides on the screen as well as laptop by bringing up the project menu on right side of the laptop screen by pressing the “Fn”+“F5” keys to showing the various options for presenting the slides and then toggle the “Fn”+“F5” keys to highlight “Duplicate” to show the slides on the screen as well as laptop.

If the speaker requires to view the next slide to be projected alongside the projected slide on the laptop screen when making the presentation it is necessary to move the arrow head onto the slide and right click then left click on “Show Presenter View” in the menu brought up. The laptop screen will now show the next slide to be projected alongside the projected slide. It is also necessary to press the “Fn”+“F5” keys to bring up the project menu and toggle the “Fn”+“F5” keys to highlight “Extend” so the next slide to be projected alongside the projected slide will show on the laptop but only the projected slide on the screen.

With laptops A & B use the“F1” key instead of the “Fn”+“F5” keys to bring up and toggle through the options in the project menu.

Remove dongle from remote control and insert into laptop USB port nearest the speaker so that it will not be obscured by speaker’s memory stick.

Turn on projector and allow to warm up.

The first slide should now appear on both laptop and screen.

Adjust height of projected slide on screen by adjusting the projector legs or using wedge if necessary. Next adjust the zoom control to get the slide to fill the screen then use the top and bottom buttons on the projector to get the sides of the slide parallel. In some cases it may even be necessary to move projector stand back or forward to get slide correctly positioned on the screen. Screw down the feet of the projector stand so that they lightly touch the floor so that it will move.

Now adjust the focus.

Check that the remote control moves the slides on or back and the pointer light works then give the remote control to the speaker with an explanation of which buttons to use to move the slides on or back and for the laser pointer. He/she should be reminded not to point the laser anywhere but towards the screen and to keep the red dot fairly stationary and not jiggle it around in circles.

DVD film presentation.

Press the “window” key third on the left bottom row of keyboard or click on the “window” icon left on the task bar at the bottom of the screen to bring up the start menu. With laptops C & D click on the “CyberLink Power DVD” icon in second row of the start menu and the CyberLink Power DVD programme for showing films should appear on the screen.

Alternatively click on the “CyberLink Power DVD” icon in the middle of the task bar at the bottom of the screen to load the CyberLink DVD programme for showing films on the screen.

Open the DVD drawer, insert DVD and close draw and the film should now appear. The “Triangle” icon bottom right of the screen can be pressed to open the DVD drawer.

Follow on screen instructions.

With laptops A & B use the “VLC media player” icon instead of the “CyberLink Power DVD” icon.

End of Session.

At end of a slide presentation close the programme by clicking on the “X” at the top right of the screen, remove the memory stick and hand it back to the speaker and collect the remote control from the speaker. Remove remote control dongle from laptop and insert back in remote control and return it to its box.

At end of a film close the programme, remove the DVD and hand it back to its owner.

Turn off projector and allow to cool.

Important. Close down the laptop by bringing up the start menu. Click on the “Power” icon at the bottom left of the screen then click on “Shut down” in the menu brought up and wait for the laptop to shut down.

Disconnect the laptop power lead and pack away in the front pocket of the laptop case.

Disconnect the projector power lead and pack it away in the pocket of the projector case.

Pack all away in the crate ensuring everything is there and fill in book with date, class and any problems (hopefully none).

Release the feet on the projector stand so they are clear of the floor and the stand can be wheeled away freely.

Finally put everything back in the cupboard or cabinet ensuring it is locked and return key to reception.
