Guidance for Baseline Tracking
This is guidance for documenting your Oregon-grown and processed food purchases, which you can use if you don’t have other systems in place. It is only a guide.
You can use the attached Excel Tracking Chart to total your purchases by category.
Note: the last tab on your Excel Tracking Chart, “All Sources,” automatically captures the vendors that you enter under each category.
Question #8:
Please provide the total dollar amount (in whole numbers) spent on Oregon grown or processed food during the 2014-2015 school year for the following categories. (Please enter "0" for categories where no $ was spent).
- Unprocessed fruits and vegetables (including raw, whole, dried,frozen, chopped, cut, peeled)
- Processed fruits and vegetables (including canned, pureed, orotherwise processed)
- Beef
- Pork
- Poultry
- Fish and Seafood
- Other Meats (such as lamb, bison, mixed deli meats)
- Eggs
- Liquid Milk
- Dairy Products (excluding liquid milk)
- Beans
- Grains
- Cereal and Bakery Products
- Other
In order to total up your purchases, do the following foreach food category:
- Locate the records for your food purchases.
- For purchases directly from a farmer, rancher, food processor, fisher, dairy, or bakery,this may be invoices or accounting records.
- For purchases through a distributoror otherwholesale supplier, use the report(s) from your distributor provided by Oregon Department of Agriculture, or request a report from your distributor with the dollar amounts you spent on foods in this category.
- If you are not sure whether you’ve purchased Oregon foods in this category from a distributor or other wholesale supplier, use the report(s) provided by Oregon Department of Agriculture, or request a report from your distributor with the dollar amounts for foods in this category.
- If you don’t have access to reports or other information about your Oregon purchases in this category please simply enter “0” under “Total Spent”.
- On the appropriate Category tab in the Excel tracking chart, enter this data:
- The names of each vendor and supplierfor that category,
- (Optional) A description of the Oregon foods purchased from that vendor or supplier,
- The total dollar amount spenton Oregon products from that vendor or supplier.
- The Excel spreadsheet automatically provides you with a TOTAL for all purchases in that Category.
- Transfer the Category TOTAL to the matching blank category field on the Survey Form.
Question #10:
How many agribusinesses did you purchase Oregon grown or processed foods from during the 2014-2015 school year?
- Refer to the last tab on your Tracking Excel Tracking Chart, “All Sources.” This tab automatically captures the vendors that you entered under each category in all other tabs.
You can scan this listing to count the number of vendors by each type:
- Growers
- Ranchers
- Fishermen
- Distributors
- On the Survey Form, click the circle that matches the approximate total number by vendor type. This number does not need to be exact.
