Objective

This document provides step-by-step instructions on how to enter group bargaining unit codes in Munis.

This is intended for intermediate level Munis users.

Overview

Group or bargaining unit codes represent labor unions and other classifications or groupings of employees. Salary Tables require a Group/Bargaining Unit Code while other codes such as Job Class, Position Control, and Accrual Tables may use a Group/Bargaining Unit code to restrict access to available job classes, positions and accruals to the appropriate group bargaining unit when entering employee data. Payroll Processing, Workflow Business Rules and numerous reports may also utilize Group/Bargaining Unit codes. Each employee must be linked to a group code.If you do not want to use multiple codes you can set up a single generic Group/Bargaining Unit code and assign all employees to it.

Non-union environments can use group codes as an additional employee grouping method, especially as it relates to salary/rate processing.

Prerequisites

Before you can successfully use this feature, you must ensure that the necessary parameters and codes are in place. If parameters and codes are not set up, or not set up correctly, you may need to contact your MUNIS System Administrator or Department Manager to have them updated or added into the MUNIS system.

  • User must have a role assigned with menu security to Group/BU Codes.

Procedure

  1. OpenGroup/BUCode FM
    Human Resources/PayrollPayroll > Payroll Setup Group/BU Codes

  1. On the MUNIS toolbar, click Add.
  1. Complete the following fields in order to enter Group/BU code information

Field / Description
Group/BU Code / This box contains a 4 character alpha-numeric code. At least one Group/BU Code must be established in order to create employee records for both union and non-union environments.
Short Description / This box contains a short description for the code. Short descriptions can contain up to 10 characters.
Long Description / This box contains the long description for the code. Long descriptions can contain up to 30 characters.
Retro Pay Pending / This check box, if selected, indicates that retroactive pay is pending (that is, the selected group or bargaining has not yet settled their retro pay agreements).
Certified / This check box, if selected, indicates that this group is for certified employees.
  1. Press Enter on the keyboard or click the OK/Accept button.

Results

The Group/BU Code will be established and can be attached to the Employee’sMaster record for which it was created.

GL Impact

The General Ledger is not impacted by this action.

Other MUNIS Modules Impact

No other modules are impacted.
