The INFORMATION ABOUT RATES FOR PARTICIPATION CAN BE OBTAINED BY SENDING A REQUEST TO THE ORGANIZING COMMITTEE, OR BY SUBMITTING THE APPLICATION FORM ON THE WEBSITE .

Registration fee: entry in the catalogue (90 words) in Russian and in English; a copy of the Exhibitor’s Catalogue; badges according to the application form; vehicle entry pass to VDNKh territory during mounting and dismantling periods; an invitation to RAAPA Gala Dinner (for 1 person); invitation flyers to the exhibition, informational materials.

The registration fee is 375 euro.

Extra payment is charged for an ADDITIONAL invitation ticket to RAAPA Gala Dinner (for 1 person), the cost is 110 euro.

Extra payment is charged for:

− Corner booth location- 10% added to the baseline cost

− Selection of booth location- 15% added to the baseline cost

Minimal booth size:

- central location - 15 m2

- perimeter location - 4 m2

Exhibitors booking more than 20 m2 exhibition space are provided with a 10% discount

  1. Booth description

The exhibition space (shell scheme booth, as well as space only) is provided according to the submitted application form (Form №1) sent by the Exhibitor:

2.1 Shell scheme booth:

Standard module booths (booth equipment – see here)

The booth is constructed of light aluminum parts and Octanorm plastic laminated panels. Each wall panel is sized H250XW100 cm (including top and bottom planks), and has the face amount about H235XW95 cm.

Additional equipment and services can be ordered (Form №2.1). Price list for the additional equipment and services is provided on page 20 of the given Manual.

Door keys and/or lockers for the filing cabinets and showcases can be obtained at the desk of the exhibition constructor – “PO MONTAZHNIK”, Ltd, near the Organizer’s office in Pavilion 69.

2.2 Space only (only marked exhibition space is provided inside of the pavilion)

Is offered for equipment display, or for individual mounting of a booth.

The exhibitor ordering an individual mounting should conform the booth layout with the official exhibition contractor – “PO MONTAZHNIK”, Ltd, not later than 3 weeks before the mounting starts, and provide a complete technical information for holding of the mandatory technical examination of the booth layout (the examination is provided at a charge; submitting the layout after the deadline is extra charged).

  1. Deadlines

By September 13, 2014 – exhibitors should provide information for the Exhibitor Catalogue.

By September 20, 2014 – final conformation with the exhibitors of the booth layout and decoration, as well as necessary equipment and services.

By September 28, 2014 - exhibitors should provide the name list of representatives for badges.

INFORMATION

1. Technical capabilities of Pavilion 69

1.1 Main characteristics:

  • Ceiling height - 24 m;
  • Ceiling height in the lower part of the Pavilion – 4 m 50 cm;
  • Permissible load on the floor – 2000 kg/sq.m.;
  • Simultaneous consumption of electricity – 250 kilowatt;
  • Height of mounting gates – 4 m 20 cm

1.2 Power Supply:

Power supply of the booths is provided over the time of holding of the exhibition. Over the mounting and dismantling periods, the exhibitors (or their contractors) should use instruments running on a battery or rent on their own the extension cord for temporary connection. In this case, it is necessary to provide the protection of the extension cord from mechanical damage.

attention! While ordering the electrical connections for the industrial equipment and exhibits, consider the magnitude of inrush current.

While connecting computers and other devices sensitive to power offs and voltage drops in the circuit, we strongly recommend you to use the uninterruptible power supply units (UPS).

For space only booths:( (see p.2.2)

Power consumption and connection are not included into the cost of the exhibition space, and should be ordered according to the Form №2.1 . Please make sure that you have ordered the power supply of required capacity.

For shell scheme booths:

Supply and consumption of electricity power up to 0.7 kW are included into the cost of the shell scheme booth. Provision of the electricity source of a greater capacity is paid additionally (Price list). Please make sure that you have ordered the power supply of required capacity.

Additional electric sockets and lights are not included into the cost of the power supply, to order them fill in the Form №2.1.

You can order phone/fax/internet connection for your booth, as well as audio/video equipment, to order fill in the Form №2.1.

Payment for the phone calls and additional internet traffic is effected during the exhibition working days, at the Organizer’s booth.

2. Exhibition aisles cleaning

The exhibitor is responsible for cleaning of the exhibition booth.

Every morning, before exposition opens, the cleaning of the aisles between the booths is performed. The litter left by Exhibitor in front of the booth the day before in the plastic bag or box will also be removed. This service is included in the rental cost of the exhibition area.

For all kinds of booths: packing materials and garbage from the booth should be disposed of in dumpsters. In case of violation of that rule, the exhibitor will be charged extra expenses for cleaning the passages near their booth.

After the exhibition closes, the exhibition space should be cleaned of garbage, carpeting and duct tape. The exhibitor is liable to expenses for the disposal of the garbage, including ordering a container for disposal of the bulky waste and the booth elements.

The exhibitor can order the individual cleaning of the booth for additional cost at the Registration Desk.

3. Exhibition and booths security

Every day during the exhibition the booths are guarded from 18:00 . to 09:30 The exhibitor who has valuable equipment at the booth should pass the booth to the security (charged additionally, see Form 2.1). The exhibiting company should arrange the presence of its representative at the booth until 18:00 . (the time of passing the booth to the security). The representatives of the company-exhibitor are responsible for the safety of the personal belongings at the booth from 9:30 to 18:00

4. Interpreters’ services

Interpreters’ services cost starts from 150 euro per day (depending on language), The exhibitor can order interpreters services through the exhibition Organizers.

6. Order of entry/ exit of transport to/from VDNKh territory

6.1. Terms of entering the VDNKh territory:

During the exhibition mounting/dismantling periods, the free entrance is provided according to THE VEHICLE PASS. The abovementioned Pass is sent to the exhibitors two weeks prior to the beginning of the mounting.

Entrance to the VDNKh territory is provided through the following gates:

«Likhoborsky» - 24 hours a day:

«Sever–1» - from 8.00 to 19.00:

«Khovansky» - 24 hours a day:

«Sever–3» - from 8.00 to 19.00

Exit from the VDNKh territory is provided through the following gates:

«Sovkhozny» - from 8.00 to 21.00;

«Likhoborsky» - from 21.00 to 8.00;

«Khovansky» - from 19.00 to 8.00;

«Yuzhny» - from 8.00 to 19.00;

«Sever-2» - from 8.00 to 21.00

THE VEHICLE PASS is the permit for a single entry/exit to/from the territory of “GAO VDNKh”, JSC, and is valid for 12 hours from the entry time. In case the pass is turned in at the checkpoint after the indicated exit time, the extra charge is taken for each extra 12 hours of stay at VDNKh territory.

Entrance of vehicles with weight exceeding 7 TONS is allowed at “Likhoborsky” gate ONLY.

THE VEHICLE PASS is valid on: October 14 and October 17, 2014 from 8.00 to 20:00, and on October 15 from 8.00 to 11.00 for only 1 vehicle delivering and removing the exhibits. The Vehicle Pass is mandatorily collected at the exit from the VDNKh territory!

Exit of the exhibitors’ vehicles from the VDNKh territory without exhibition Organizer’s stamp and the dates of attendance written on the abovementioned Vehicle Pass is STRICTLY PROHIBITED!

6.2. The order of delivery and removal of the exhibits for the participants:

 To have the exhibition equipment delivered and removed, the exhibitor company should have two (2) copies of the letter with the list of delivered equipment. (Form №7)

  • It is necessary to get the note “Delivery allowed” on both copies of abovementioned letter at the Exhibition Administration (at the Registration Desk). One copy with the note of the Administration is to be left by the exhibitor at the registration desk. The second copy is to be shown at the entrance to the pavilion.
  • While removing the equipment, it is necessary to get the note “Removal allowed” on the same copy of the letter at the Exhibition Administration (at the Registration Desk).
  • For the workers entering the pavilion to provide delivery and removal of the exhibition equipment and exhibits and to perform mounting, it is necessary to get the mounting wristbands from the Exhibition Administration (at the Registration Desk).
