Teacher Staffing Process and Training Memos

  • The first memo for hiring managers and secretaries covers a one-hour required training session to use the automated, online staffing process this spring. It is important they attend one of the sessions so system errors are minimized and the process goes smoothly for principals and teachers.
  • The second memo is to be communicated to teachers so they know there is a new online form they need to complete to comply with the Agreement in providing notice of job share, intent to vacate, half-time position, or sabbatical/general leave.

Please let Jan Landry know if you have any questions. We appreciate your help in distributing these memos to your staff.

Principals and Curriculum Coordinators

A new Article (8-1-3) in the DCTA/DPS Agreement this year requires written notice to teachers at least 90 days before the end of the school year if any professional development needs to be scheduled beyond the school year (either during the week immediately following the last day of school or the week immediately preceding the start of the next school year). The 90-day point is February 28, 2003. If you are planning any professional development that cannot be scheduled during the school year, please make sure to provide written notice to teachers by February 28.

Area Cleanup

Pick several hours in February and go to an area of your building that you have not seen for a while. Coordinate with your Facility Manager. Many schools have areas that are not often visited and accumulate unused furniture, books, old computers, and other forgotten material. These rooms are normally “off the beaten path” in the school. If you find an accumulation of material, call Michael Lohmier at 303-575-4053 from the Warehouse and ask them to come and get the material. If you find a collection of old computer parts, send an email to in Fixed Assets with information about your situation.

Accident Prevention

The wet weather brings increased chances for slips and falls. Make sure the “Wet Floor” signs are out and that wet spots are mopped as quickly as possible.

Subject:Teacher Staffing—Training Sessions for using the New Web-Based System

Please Forward to All Principals, Department Heads, and Secretaries

We’ve simplified and automated the hiring process this year, based on feedback from hiring managers and secretaries. The teacher staffing process will be much easier for schools and departments this year.

Job requisitions and descriptions for positions in your building/department will be posted and edited online by the school/department.

Qualified applicant information will be displayed on the Web by school/department for hiring managers to access.

Hiring managers will indicate 1) the candidate chosen for the position and 2) the candidates that were interviewed for the position and submit the information to HR via the Web. The information will interface with Lawson.

There will be no more forms to fax or paper to lose.

To facilitate the use of this new system, we have scheduled hands-on training sessions.
All hiring managers are expected to attend one of these sessions to become familiar
with the process. This includes secretaries and principals/department heads who are responsible for the online posting/selection process in their building/department.

All sessions are at 770 Grant Street, Garden Level PC Lab. Five one-hour sessions are scheduled each day.

Call 303-764-3884 to schedule your training session.

Training Dates:February 19, February 26, March 5, March 12

(These are all Wednesdays.)

Training is scheduled five times on each of the above days:

7:00 to 8:00 AM

8:30 to 9:30 AM

10:00 to 11:00 AM

3:00 to 4:00 PM

4:00 to 5:00 PM

Subject:Notice of Teachers’ Intent to Vacate Assignments,

Request for General and Sabbatical Leave,

Job Share, and Move to Half Time

Teachers are required to submit a notice in writing to their principal and/or CDM and Human Resources of their intent to take any of the following actions:

  • Vacate his or her current position for the 2003–2004 school year.

A teacher who vacates his or her position relinquishes all claims to remain in that assignment for the 2003–2004 school year (See Article 13-5-8).

  • Request general and sabbatical leave (See Appendix B).
  • Job share. The teacher is responsible for finding a partner (See Article 25-1).
  • Move to half time (See Article 25-1).

To communicate his or her request to Human Resources, the teacher will submit a simple Web request form by April 7, 2003. One form will handle all of these requests. It will be available on the main HR web site () by mid-March.

Please make this information available to teachers on your staff.

Parent Trainings

The Office of School Community Partnerships and the Department of Community Relations are pleased to announce that the much-acclaimed English/Spanish parent trainings are now available online.

We know from research and personal experience that students who have involved parents not only go further and do better in their education, but are also more likely to be successful in life.

To help school provide meaningful and relevant parent trainings, Denver Public Schools has developed a partnership with the Colorado Statewide Parent Coalition (CSPC)and the Parent Information and Resource Center (CPIRC) to develop workshops in both Spanish and English that schools can use when communicating with parents of their students. Currently, three workshops, complete with parent handouts, are available on the Community Relations Web page at

The three workshops are:

1—Introduction to the DPS Literacy Program
2—Home-Learning Support
3—Parent/Teacher Meetings

Also on the Web page are support documents such as: 1) a checklist for schools,
2) a sign-in sheet, and 3) an evaluation form for participants to complete. Feel free to use the materials and adjust them to meet the needs of your school or community. Based on our availability, we are also willing to come to your school to work with teachers on preparing the workshop or to offer support during the workshop.

The files can be saved to a disk for use as a PowerPoint presentation or printed and copied to overheads. Schools can also download the presentations and make changes as needed.

It is our desire to build on these workshops and have more to offer schools. If you use the trainings and make modifications for your school, or if you use the trainings as they are, we would love feedback about how they worked for you.

If you would like more information, please contact Karen Fulghum Sear at
303-764-3306 or .

The links on the Parent Training page are to download files that are either in Microsoft Word or PowerPoint. To successfully download, read, and print these files, your computer will need Microsoft Office© installed.
