Graduation 2017 Parent / Student Informational Meeting

Minutes:

1.  Events that comprise of Grad 2017

·  Grad Clothing order forms are due November 2. Forms and sample size clothes in the office.

·  Organizational meeting in mid to late February. Starting earlier is not needed.

·  February to June – Committee Meetings take place mainly in March and April.

·  Grad portraits in March with Kathryn Reimer. Her studio is in Sunny Side and appointments will be made in the office in February.

·  Dry Party Event is tentatively on Sunday, May 28 from 2 pm to 5 pm, location to be determined. Students must attend Dry Party if they wish to attend Safe Grad.

·  Grad Rehearsal on Monday, June 26 at 1 pm.

·  Grad Ceremony, Class Picture, Banquet, Prom, Safe Party on Tuesday, June 27.

2.  Committees that will be formed in February

·  Executive Chairperson(s) (student reps with all committees and grad advisor)

·  Hall Committee (decorating, banquet, prom), meet every two weeks starting at beginning of March.

·  Safe Grad Event Committee - meet every two weeks starting at beginning of March.

·  Dry Party Event Committee – Meet once to determine details.

3.  Information on Dry Party

·  Looking for a location for this event. It takes place on a Sunday afternoon from 2 pm to 5 pm. It is a non-alcoholic event, and involves a BBQ, opening of grade 7 time capsules, and is a great time for the students to have some fun and for the parents to visit. All parents are invited and encouraged to attend. For the location, ideal if host has a pool, and open space to allow for a tent (30 x 30).

4.  Information on Safe Grad

·  Safe Grad Seminar on Saturday, November 26 (9:30 am to 12:00 pm, free and with lunch) at the Victoria Inn. If interested in attending, please call the school..

·  Fundraising opportunity for Safe Grad – Last year students worked the BlizzardFest Meal (February 6) and the Coop Gift Cards. These were the major fundraisers.

·  Expenses for Safe Grad include rental of arena, DJ, and entertainment activities. Last year had a photo booth, mechanical bull, and bouncy castle. Safe Grad tickets and additional funds are required to pay for this. Fundraising events have included selling chocolates, Mom’s pantry

5.  Information on the Ceremonies

·  Students meet between 12:00 and 12:30 pm in the Ladies Auxiliary Hall to get their gowns on. The Grads enter the hall at 1:00 pm. Ceremony goes from 1:00 pm to about 2:15 pm, has guest speaker, student address, diplomas and awards. Each grad has two seats reserved at the front for parents. Grads reconvene at 5:15 pm in the Ladies Auxiliary Hall for the class portrait.

6.  Information on the Banquet

·  Based on 47 grads, each grad is guaranteed 6 tickets. Families can apply for surplus additional tickets. Once the initial tickets are given out, we will then distribute remaining tickets out in layers until either we are at capacity in the hall, or all families have their desired number of tickets.

·  Grads are introduced individually into the banquet, starting at 6:05 pm. Eating starts around 6:35 pm, Prom starts at about 8:30 pm.

7.  Grad expenses (approximations)

·  Clothing - $51 for hoodie and $45 or $62 for sweatpants and $29 for shirt (optional)

·  Grad Portraits – $30 to $200, depends on package (Kathryn Reimer Photography)

·  Decorating Fee - $35 to $45 per student (TBD)

·  Gown Fee - $25 per student (get to keep the cap)

·  Dry Party Tickets - $15 per student, $5 per parent

·  Banquet Tickets - $25 - $30 per ticket (depends on meal selection)

·  Safe Grad Tickets - $20 per person

·  Others (dress, suit, hair…)

8.  Other

No grad meetings are to take place without the staff advisor being notified and involved.

No ordering of any types of grad merchandise without the staff advisor involvement.
