Creating an Exam Score Column

Click on the add new test icon or press F6

For Name, enter SemEx2 with NO SPACES

For Long Name, enter 2nd Semester Exam

Remove the quarter number by double clicking and pressing Delete

When the Assign Special Scores to Semesters Dialog box appears, change the Y (Year) to 2 (Second Semester)

There should be NO category assigned to an exam

Change the date to 6/22/09

Enter possible points for the exam

Enter an exam score for each student

Make sure exam weight will be 150

REPEAT FOR EVERY GRADEBOOK

Preparing to Send the 4th Quarter

Show View All Terms and make sure that the Subtotal 4 column does not have a grade over 100

Make sure that there is a grade in the SemEx2 column and NOT over 100

Add comment codes in column C1 and C2

Make sure that every comment has 2 digits

Overwrite quarter or exam grades as necessary in the Subtotal column 4 or SemEx2 column ONLY

Verify that the term weights are correct: All terms should be 300 and SemEx2 should be 150

Check All Quarter Subtotals

View All Terms

You must have grades for each quarter.

Make sure that there are double numbers in each subtotal column

If not, your final grade calculations will be wrong.

Check to make sure all subtotal weights are 300

Check to make sure that all Exam Weights are 150

4th Quarter Codes

Capital P = Passed Basic Skills

Capital N = Not Passed Basic Skills

Capital I = Incomplete

These letters must go in the subtotal 4 column!

2nd Semester Exam Codes

Capital P P = Passed Basic Skills

Capital N N = Not Passed Basic Skills

Capital I I = Incomplete

Capital X X = Senior Exemption from exams

These letters must go in the SemEx2 column

ALL CAPITALS WITH A SPACE BETWEEN THE LETTERS

Delete Dropped Students

Right click anywhere in the gradebook

Make sure that NO students are hidden

If a student has dropped, he/she MUST be deleted

Right click on the # of the student in the gradebook

Choose Delete

Repeat this with every gradebook

NEVER hide dropped students

Print Reports

For all reports, make sure you are selecting Show Term 4

Print Student Comment Sheets for all students with a “D” or an “F”

Print Single Term Gradebook Spreadsheet for Quarter 4

Print End of Year Spreadsheet

Store both Spreadsheets in your paper gradebook

NOTE: To include dropped students, you will have to unDrop the student prior to printing and drop the student after printing reports

Sending Grades

Send grades to Star Base as you did for the previous quarters

Click on File and Send – choose 4th quarter. The 2nd semester exam will be sent with this grade

You may send a class as often as you like as long as the Send option is available

Always choose Overwrite for any changes you send to Star Base

Always select All Students
