Minutes – January 5, 2012
Present: Joe Caffrey, Barry Tremper, Amos Lawson, Elaine Cooper, Earl Cooper, Sharon Jo Lloyd, Linda Picard, Leticia Couttien, Phil Villon, John Hoopington, James Richards, Rhoda Barris
The meeting opened at 9:30am. Minutes of prior meeting accepted with one change “Emergency Road Use”.
Chairman's Report
- Letter was sent out to Dan Mita on behalf of the residents and board.
- Gatehouse could come anytime from December 28th but no later than January 4, 2013. The account manager working with us is Jim Shaune from Par-Kut the manufacturer. Mr. Shaune is to inform Dan when he has a concrete delivery date so delivery can be coordinated. Dan spoke to Matt from First Alarm who any gate will work with software/system. He will also be walking site with Met-Ed for Pole relocation due to widening of roads.
- Loud noise from car exhaust pipes needs to be addressed.
- Money billed from Wilkins is less than what is being paid. Representative showed at board meeting and explained.Wilkins separate entity has nothing to do with real estate program.
- Linda Picard is the new liaison for between the GAC and the board.
- Situation with EMS where they were called for a heart attack and broke into wrong house.
- GAC investigate the generator; Joe suggested turning task back over to management to investigate prices and get best estimate. Recommended a generated with propane - example of $2,500. It was agreed that office would be asked to investigate matter.
- Attorney suggested putting up a sign at community entrance. Amos suggested sending a letter to residents.
- Issue of Rob (the Glen’s contractor) not plowing properly was addressed.
- Anything that was common knowledge would be divulged but nothing confidential with regards to board providingGAC with more information about decisions.

Generation Recreation
Thirty five (35) children attended the Christmas party with parents. A whole new group of children attended. Really nice job. Theory of why Santa Claus was smaller. Barry suggestion St. Patrick's Day event.
Safety
Water cap is broken on the road at a home and has not been addressed. People complaints about driveway. Snow being banked in front of driveway, plowed snow really high to residents, genearlly do a good job
Finance
- Almost at the end of the changeover to Wilkins.
- A significant change was to remove the number and adjust to cash, which will be reflected in 2013 budget.
- Budget financials for Glen was discussed, $15,676 less than November($39,210 versus $54,886). The big difference in expenses occurred in security and administrative overheads. Savings came from payroll and medical insurance.
- Wilkins payments start in December which should offset part of savings. Project expenses expected to come in $20,000 less than expected at end of year.
- Revenue is still a problem. Delinquent dollars are down $66,521 versus $59,930 last November or$6251 less in collections. 13 active foreclosures included in numbers, four of them were sold. There are 11 pending foreclosures, 3 bankruptcies, 13 lots under water and 23 account problems. Other income is ahead of last year at $14,709 and revenue is $342 less than last November.
Design/Review
Barry asked the question of how much money has been put aside for the building and do we have to pay for the upkeep of the gatehouse. Joe believes that Wolfington may be covering gatehouse expenses and does not want to it, if it is going to cost a fortune. Prefers to see it used for roads.
Rules/Regulations
Does not need a list of rules at community entrance. Believes a warning letter should be sufficient.

Other Business
Roads need to be addressed. Amos believes roads will be like dirt roads by summer if we receive 2 more snow storms. The dip at the entrance is being investigated. If a drain is needed it should be fixed when gate house is being put up.
